Job description

FLEET ADMINISTRATOR

Direct report: Fleet Manager

The above position is vacant at our Midrand Branch. The overall purpose of this position is to assist with administrative responsibilities of the Fleet Department and assisting with the control of the fleet.


Minimum Requirements:

  1. Matric certificate or equivalent
  2. A clear criminal record
  3. Excellent communication skills
  4. Computer literate and proficiency in Microsoft Word, Excel and Outlook
  5. At least 2 years’ administration experience
  6. Background in fleet admin is an advantage
  7. Ability to work extended hours when needed
  8. Ability to work without supervision, under pressure and meet strict deadlines

Key Performance Areas (not totally inclusive):

  1. Maintaining a filing system and document management, including archiving
  2. Provide administrative support to the Fleet Manager and Branch Manager
  3. Answering the telephone and taking messages
  4. Maintain daily/weekly/monthly reports
  5. Process purchase orders and invoicing
  6. Manage Capex and Asset requirements
  7. Assisting with overseeing, controlling, and managing maintenance of company vehicles
  8. Ensure that accidents are properly investigated, and appropriate action is taken, and ensure that all accident documents are completed and sent to Head Office within the required time frames
  9. Receiving quotations, issuing orders, and forwarding invoices to Head Office, ensuring that the necessary authorisation is obtained; follow up and ensure payments are made by the Creditors department
  10. Assisting with general office enquiries and administrative tasks
