Job Purpose:
- Provide an effective and efficient administrative service to the faculty in all aspects of student administration: admissions, registration, developing and managing the student record systems, administration of examination results, graduation, and committee work of the faculty.
- Deal with enquiries from the general public and outside organisations, preparation of the faculty section of the handbook, and training and support to administrative staff using the student administration system.
- Assist the Faculty Manager in liaising effectively with Heads of departments and relevant central administrative departments to ensure compliance with relevant university-wide rules and procedures.
Job Knowledge, Skills and Experience:
- An NQF 7 level qualification (e.g., Bachelor’s degree or equivalent).
- A minimum of 3 years recent experience in Higher Education or Project Management environment.
- Experience working on a student administration system, e.g., ITS.
- Supervisory experience.
- A commitment to excellent client service in a cross-cultural environment.
- Ability to multi-task, prioritise work appropriately, work under pressure, and work independently with minimal supervision.
- Attention to detail, report writing, good presentation skills, and an uncompromising attitude to meeting deadlines without sacrificing quality.
Key Performance Areas / Principal Accountabilities:
- Manage admission of students, registration, assessment scheduling.
- Continuous management and oversight of internal controls and compliance in alignment with institutional policies.
- Effective communications with applicants and their families as well as internal communications with various departments and service providers.
- Understanding the academic structure of programs and the HEQSF.
- Experience and knowledge of ITS.
- Website updating.
- Customer Relationship Management.
- Understanding Recognition of Prior Learning (RPL).
- Academic administration planning and coordination.
- Operations management.
- Resource management: people.
- Monitoring, evaluation, and reporting.
