Our client, a dynamic company in the building industry, is seeking a highly skilled and proactive administrative professional to join their close-knit team.

Main Job Functions:

  1. Greet & assist clients, visitors & reps with a warm & professional demeanor
  2. Answer & direct phone calls, emails & enquiries
  3. Schedule appointments & manage front desk operations efficiently
  4. Provide administrative support across the organization
  5. Maintain a clean & organized reception area
  6. Supervise cleaner and ensure she does her work
  7. Provide administrative support to the team as needed
  8. Communicate with suppliers & send orders for director
  9. Sales – dealing with walk-in customers & telephonic requests
  10. Create invoices & assist with quotes
  11. Monthly reconciliations for glass suppliers
  12. Extensive filing on a daily basis
  13. Open new accounts for incoming contracts
  14. Capture invoices for director
  15. Print statements at month end for accounts department
  16. Procurement (ordering office supplies & consumables)
  17. Vehicles (booking services, roadworthy, licence disc renewals)
  18. Monitor cell phone accounts
  19. Company insurance – policy updates
  20. Building maintenance – (IT and general maintenance e.g. calling plumber)
  21. Assist staff with PPE, stationary & equipment when needed
  22. Receive & sign for deliveries
  23. Handle wages when HR is unavailable
  24. Adhoc requests when necessary

Qualifications:

  1. Previous experience in reception
  2. Excellent communication & interpersonal skills
  3. Strong organizational skills with attention to detail
  4. Proficiency in Microsoft Office, Excel, Word & Sage Pastel Accounting
  5. Positive attitude & ability to multi-task

Remuneration: R17
