Executive Personal Assistant
Job description
Minimum requirements:
- Bachelors degree in business administration, Communications, or a related field preferred.
- Minimum of 2 years of experience in an administrative support role, preferably in a corporate setting.
Administrative Support:
- Assist the Executive PA with day-to-day administrative tasks.
- Manage phone calls, emails, and correspondence on behalf of the Executive PA.
Scheduling and Coordination:
- Help organize and maintain the executives calendar, including scheduling meetings, appointments, and travel arrangements.
- Coordinate logistics for meetings, including booking venues, arranging catering, and preparing meeting materials.
- Ensure all necessary arrangements for executive travel, including itinerary planning, transportation, and accommodations.
Information Management:
- Maintain and update confidential files and records.
- Assist in the preparation of reports and presentations for executive meetings.
- Manage databases and filing systems to ensure easy retrieval of information.
Communication:
- Act as a liaison between the Executive PA and internal/external stakeholders.
- Draft, proofread, and edit communications as required.
- Ensure timely and effective communication between the executive office and other departments.
Special Projects:
- Assist with special projects as directed by the Executive PA.
- Conduct research and gather information for various initiatives and reports.
- Support the planning and execution of corporate events and functions.
General Office Duties:
- Order and maintain office supplies.
- Ensure the executive office is tidy and well-organized.
- Perform other duties as assigned by the Executive PA or executive team.
Skills Required:
- Excellent organizational and time management skills.
- Strong written and verbal communication skills.
