Established in 1879, St Mary’s Diocesan School for Girls is an independent, all-girls Anglican School situated in Hillcrest, Pretoria. The School prides itself in achieving a balance between the spiritual, moral, academic, cultural and physical development of its students and enjoys an excellent reputation, nationally and internationally. We provide a caring, unique and dynamic educational environment for day scholars from Grade 0 to Grade 12 and boarders from Grade 5 to Grade 12.

St Mary’s Diocesan School for Girls in Pretoria is inviting applications for the following position available:

Executive Personal Assistant

As the Executive Personal Assistant, you will play a crucial role in ensuring the smooth operation of the Head of School’s office. This dynamic position requires exceptional organizational skills, discretion, and the ability to manage multiple priorities in a fast-paced environment.

Key Responsibilities:

  1. Manage the Head of School’s schedule, meetings, and correspondence.
  2. Serve as the primary point of contact between the Head of School and internal/external stakeholders.
  3. Coordinate and manage events, travel arrangements, and special projects.
  4. Prepare and edit reports, presentations, and confidential documents.
  5. Handle administrative tasks with professionalism and efficiency.
  6. Organize and maintain confidential records, including meeting minutes and taking notes.
  7. Collaborate on internal and external communications, create presentations, newsletters, and materials.
  8. Provide support where needed to the Head.
  9. Ability to work independently and a willingness to contribute to a dynamic team.
  10. Ability to build healthy relationships with staff, students, and parents.
  11. Willing to support, promote, and work within the Anglican ethos of the School.

Requirements:

  1. Proven experience as an Executive Assistant, Personal Assistant, or similar role.
  2. Excellent communication and interpersonal skills.
  3. Strong organizational and time-management abilities.
  4. High level of discretion and confidentiality.
  5. Proficiency in Microsoft Office and other productivity tools.
  6. Minimum 5-10 years’ experience in an Executive Personal Assistant or similar role.
  7. School environment experience will be an advantage.
  8. Reliable and highly effective in time management, communication, and multitasking.
  9. Financial and HR knowledge.
