Executive Personal Assistant

Role Purpose:

  • The Executive Personal Assistant will provide high-level administrative support to senior executives within the telecommunications industry.
  • This role involves managing the executive's day-to-day activities, facilitating communication, and ensuring the efficient operation of the executives office.
  • The ideal candidate will possess excellent organizational and multitasking skills, with a keen understanding of the telecommunications industrys dynamic nature.

Key Responsibilities:

Executive Support:

  • Provide proactive support to the executive by managing calendars, scheduling meetings, and coordinating travel arrangements.
  • Screen and prioritize emails, phone calls, and requests, ensuring that only essential matters reach the executive.
  • Prepare and edit documents, reports, presentations, and correspondence as required.
  • Manage the executive's tasks and deadlines, ensuring priorities are met.

Meeting and Event Coordination:

  • Schedule and coordinate high-level meetings, ensuring agendas, briefing materials, and follow-up tasks are prepared and tracked.
  • Organize internal and external events, including conferences, team meetings, and client functions.
  • Take meeting minutes and ensure follow-up on action items.

Communication and Liaison:

  • Serve as the primary point of contact between the executive, internal teams, and external stakeholders, including clients and partners.
  • Build and maintain strong relationships with other executive assistants, department heads, and key stakeholders.
  • Ensure confidentiality and handle sensitive information with discretion.

Project Management and Reporting:

  • Assist with special projects, research, and data collection to support business initiatives.
  • Track the progress of ongoing projects and provide status updates to the executive.
  • Prepare periodic reports on business performance, including dashboards, KPIs, and budget tracking.

Office and Administrative Management:

  • Manage office supplies, equipment, and ensure smooth office operations.
  • Handle expense reports, purchase orders, and other administrative tasks.
  • Assist with the onboarding of new team members and support the executives direct reports as needed.

Core Competencies and Skills:

  • Excellent verbal and written communication skills.
  • Strong organizational skills, with the ability to manage multiple tasks and priorities efficiently.
  • Attention to detail and accuracy in all aspects of the role.
  • Ability to work under pressure in a fast-paced, dynamic telecommunications environment.
  • High level of confidentiality, professionalism, and discretion.
  • Strong interpersonal skills and the ability to build relationships with key stakeholders.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)

Qualifications and Experience:

  • Proven experience as an Executive Assistant or Personal Assistant, ideally within the telecommunications or technology industry.
  • A degree or diploma in Business Administration, Office Management, or a related field.
  • 5+ years of relevant experience providing high-level executive support.
  • Experience with telecommunications industry terminology and processes will be advantageous.
