Our client, a leading Home Textile manufacturer, is looking for an executive PA.

Role Description

This is a full-time on-site role for an Executive Personal Assistant in Jacobs Durban. The Executive Personal Assistant will be responsible for providing personal and administrative assistance to multiple directors, managing communication, handling diary management, and utilizing clerical skills.

Duties

  • Schedule, coordinate meetings, appointments, and travel for executives and family.
  • Manage incoming and outgoing emails, phone calls, and letters.
  • Draft and edit speeches, sales notes, letters, and reports.
  • Maintain filing and organize office supplies.
  • Prepare agendas, compile board meeting packs, take minutes, and follow up on action items for board and family meetings.
  • Arrange travel itineraries, including flights, accommodations, and car rentals for business and family trips.
  • Handle Forex currency requests and orders for both business and personal use.
  • Complete visa applications and create invitation letters for international travel.
  • Liaise with FNB for personal and business needs.
  • Reconcile personal accounts and equalization.
  • Organize company events and family gatherings.
  • Perform personal tasks for family members, including managing schedules and appointments.
  • Coordinate with drivers.
  • Book activities like padel tennis and golf.
  • Order food, snacks, and beverages.
  • Purchase gifts and flowers for special occasions.
  • Summarize sales reports, including sales and property reports.
  • Manage monthly accounts - DSTV, Telkom, Levies.
  • Order medication and reconcile medical accounts monthly.
  • Assist with medical and insurance claims.
  • Handle other ad hoc duties as needed.

Qualifications

  • Personal Assistance and Executive Administrative Assistance skills
  • Diary Management proficiency
  • Clerical Skills expertise
  • Experience in a similar role is preferred
  • Strong organizational and time-management skills
  • Ability to maintain confidentiality and professionalism
  • Proficiency in Microsoft Office suite
