An exciting opportunity within a well-known finance and insurance organization looking for an Executive Assistant to the CEO. The Executive Assistant (EA) to the CEO plays a crucial role in providing high-level administrative, operational, and strategic support. T
his position requires exceptional organizational, communication, and problem-solving skills to manage executive schedules, streamline processes, and facilitate the CEO’s decision-making.
The EA will act as a gatekeeper, liaise with internal and external stakeholders, and ensure the seamless execution of the CEO’s daily functions.
Key Responsibilities
Executive & Administrative Support
- Manage the CEO’s calendar, including scheduling meetings, appointments, and travel arrangements.
- Coordinate and prioritize daily tasks, emails, and correspondence, ensuring timely responses.
- Prepare and review reports, presentations, proposals, and board packs before submission.
- Conduct research and data analysis to support executive decision-making.
- Handle confidential documents and sensitive information with discretion and professionalism.
Meeting & Event Coordination
- Organize and prepare executive meetings, board meetings, and strategic planning sessions.
- Take minutes, track action items, and follow up to ensure timely execution.
- Coordinate corporate events, investor meetings, and networking engagements for the CEO.
Communication & Stakeholder Management
- Serve as a liaison between the CEO and internal/external stakeholders, including executives, investors, and regulatory bodies.
- Draft, review, and edit business correspondence, emails, and reports.
- Ensure clear, professional, and strategic communication on behalf of the CEO.
Project & Strategy Support
- Assist in tracking key business initiatives, projects, and deliverables, ensuring alignment with organizational goals.
- Conduct market research, competitor analysis, and financial insights to aid in strategic planning.
- Support budget preparation, financial reporting, and operational planning.
Travel & Logistics Management
- Arrange local and international travel itineraries, including flights, accommodations, and visas.
- Ensure travel aligns with business objectives and provide necessary documentation.
- Handle expense management and reconcile travel and entertainment expenses.
Office & Personal Task Management
- Oversee office administration and ensure a professional, efficient workspace for the CEO.
- Handle personal errands and ad-hoc requests to facilitate work-life balance.
- Manage corporate memberships, executive gifts, and event RSVPs.
Our required expertise:
- Tertiary qualification in business administration, Finance, Communications, or related field.
- 8+ years of experience as an Executive Personal Assistant, preferably in Financial Services.
- Project and proposal management exposure ideal
- Strong understanding of financial and business terminology.
- Experience liaising with executives, investors, and regulatory bodies
