Job description

Do you love being the right hand and assisting at Director level? We require an Executive Assistant who is highly organised, thinks one step ahead at all times, minimum 5 years’ experience with excellent administration, financial acumen and computer skills to assist this highly successful team and company based in Ganger Bay. Essential to be bilingual in Afrikaans and English, own transport, very well groomed with excellent client liaison skills.

REQUIREMENTS:

  1. Matric, relevant tertiary qualification advantageous
  2. Minimum 5 years of experience as a Personal Assistant
  3. Excellent communication skills
  4. Maturity in handling situations confidentiality and professionally
  5. Strong computer and typing abilities
  6. Proactive, and taking initiative
  7. FIC knowledge and what is required to be FIC compliant as an accountable institution is a bonus
  8. Flexible, and adaptable to change
  9. Valid driver’s license and own transport
  10. Some financial exposure, advantageous

DUTIES:
  1. Work with the MD and FD ensuring all meetings, events, cocktails that are hosted are managed, planned and arranged timeously
  2. Diary Management of MD and FD and screening of calls
  3. Ensuring that all necessary information and documentation required for daily diary activities are provided
  4. Scheduling appointments and meetings
  5. Able to follow up and ensure sub-contractors have submitted quotes and work is completed proficiently
  6. Extensive liaison with clients
  7. Manage, proofread and check standard contracts ensuring everything is filled in correctly
  8. Manage financial basic costings for sales of products assisting with profit calculations
  9. Typing up of quotes, contracts and confidential documents
  10. Answering incoming calls and attending to enquiries
  11. Dealing with email correspondence and phone calls on behalf of the Directors
  12. Coordinate travel and accommodation arrangements for business and personal travel
  13. Ordering of consumables and stationery
  14. Marketing and newsletters
  15. Coordinate courier services

Salary: R25,000 – R30,000 ctc depending on experience
