Minimum of 5-7 years Executive Assistant experience
Proficiency in Microsoft Office, Internet, and Teams
Comprehensive executive secretarial and administrative knowledge
Responsibilities:
Manage diaries by setting up meetings, checking for conflicts, and communicating with all stakeholders.
Take meeting minutes or record meetings as needed, type minutes, and distribute them to the Executive and distribution list within an appropriate time frame.
Provide office support to the division by networking and liaising with facilities management to ensure timely turnaround.
Manage office budget by applying cost-effectiveness principles in everyday operations.
Coordinate events and manage special projects.
Create and maintain relationships with internal and external stakeholders at all levels.
Make all travel arrangements, including visas, hotel bookings, car rentals, and foreign exchange arrangements.
Manage complex and detailed travel plans, itineraries, and agendas.
Collate and prepare information for Board reports.
Prepare presentations and review speeches.
Develop and maintain an efficient communication and document management process.
Handle internal and external designated correspondence.
Perform office administration tasks.
Facilitate communication.
Coordinate events.
Make day-to-day decisions within established processes and procedures.
