Key Performance Output

Responsibilities

The successful candidate will be reporting to the Group Executive Commercial and Business Development, and will be responsible but not limited to the following:

  1. Performs a variety of administrative and executive support tasks that are highly confidential and sensitive.
  2. Generate procurement orders on software system including receipting and invoicing.
  3. Monitor stock levels and purchase stationery and sundry for the office.
  4. Build, support and maintain healthy, diverse internal and external relationships (including government and high-profile delegates) to ensure achievement of organisational goals.
  5. Respond to request, queries and complaints as and when required. Escalate to relevant personnel when unresolved.
  6. Collaborate with stakeholders in relevant forums.
  7. Acts as liaison between the executive, subordinates or others, by transmitting directives, instructions and assignments and following up on the status of assignments.
  8. Assist key executives to make consistent decisions by advising them of historical precedents, serving as liaison between them and other board members.
  9. Manage and coordinate relevant Executive’s and Group Managers diary.
  10. Handle internal and external incoming calls as well as emails.
  11. Make necessary travel and accommodation arrangements as and when required.
  12. Schedule, arrange and coordinate meetings in terms of invites, conference rooms, catering etc.
  13. Research, compile, assimilate, and prepares confidential and sensitive documents and briefs the executive regarding content.
  14. Prepare letters, reports, memoranda, presentations and other relevant documentation.
  15. Assists in the completion of various forms, notices, press releases and other communications, which may require posting and/or publication.
  16. Ensure all source documentation is confidentially maintained, securely stored and filed in accordance with Standard Operating procedures.

Technical Skills And Experience

The following skills and experience or the equivalent of such will be required:

  1. Diploma in Office Administration is essential.
  2. 4-5 years relevant operational experience within functional discipline is essential.
  3. Code B; Motor Vehicle Licence
  4. MS Office at intermediate level.

Shortlisted candidates will be required to provide proof of their qualifications, NQF level and credits, and must be eligible for Top Security Clearance within 3 months of appointment.
