Job description

Responsible for the timely execution of risk-based internal stock audits in accordance with the annual audit plan. Audit inventory and stock levels across various Business Units and involves assessing inventory accuracy, provisions, obsolescence, tracking discrepancies, maintaining audit records, and ensuring that company policies regarding stock management are adhered to. Plays a critical role in identifying issues that could lead to loss, theft, or inefficiency, ensuring that stock levels are properly recorded and reported.

Duties:

  1. Inventory Auditing:
    Conduct regular and ad-hoc physical audits of stock in warehouses, plants, or other storage areas.
    Compare physical stock counts (floor to system & system to floor) with system records to ensure accuracy.
    Investigate discrepancies between recorded and actual stock levels and resolve issues in a timely manner.
  2. Stock Tracking and Reporting:
    Maintain accurate and up-to-date records of all audits performed.
    Prepare and submit detailed audit reports, including findings, discrepancies, and recommendations for improving stock control.
    Highlight potential risks such as overstocking, stockouts, obsolescence, or shrinkage.
  3. Policy Compliance:
    Ensure compliance with company procedures, policies, and regulatory requirements related to stock management and auditing.
    Work with management to ensure that stock handling and storage procedures meet health and safety standards.
    Ensure provisions are adequately calculated and processed.
  4. Collaboration with External Audit & Other Departments:
    Work closely with External Audit, the respective inventory management team and finance departments.
    Provide support during stocktaking exercises or year-end, half-year inventory audits.
  5. Process Improvement:
    Identify inefficiencies or weaknesses in stock control processes and propose improvements.
    Provide recommendations for enhancing stock tracking and minimizing loss or wastage.
  6. Loss Prevention:
    Identify trends or patterns that could indicate theft, pilferage, or errors in stock handling.
    Recommend corrective actions to mitigate risks associated with stock loss.

Qualifications and Experience:

  • Degree in Internal Audit, Finance (BCom).
  • CIA an advantage.
  • Experience: 5-8 years Internal Audit.
  • Proven experience in stock auditing, inventory control, or a similar role.
  • Strong attention to detail and excellent organizational skills.
  • Ability to work independently and as part of a team.
  • Proficient in using inventory management software (SAP, Syspro) and MS Office (Excel, Word).
  • Strong problem-solving and analytical skills.
  • Ability to communicate findings clearly in written and verbal reports.
  • Knowledge of stock control processes and loss prevention techniques.
  • High level of integrity and ability to handle confidential information.
  • High level and maturity in resolving possible conflicts.
