We have an opportunity available for an experienced Executive Personal Assistant who will be required to provide an efficient and accurate executive administrative support service to the SATIC CEO and Executive Leadership for the smooth operation of the business.
MInimum requirements:
- Proven experience as a Personal Assistant, Executive Assistant, or similar role for a minimum of 5 years in a professional environment.
- Matriculation
- Any additional tertiary qualifications will be advantageous
- Excellent verbal and written communication skills
- Strong organizational and multitasking abilities
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software including PowerBi, Alteryx and Finance Systems.
- Ability to work independently and as part of a team
- High level of discretion and professionalism
- Strong problem-solving skills and attention to detail
- Flexibility to adapt to changing priorities and demands
Responsibilities, including but not limited to:
- Administrative Support: Manage and maintain the executive’s calendar, schedule meetings, and coordinate appointments. Prepare and edit correspondence, communications, presentations, and other documents.
- Travel Coordination: Arrange travel itineraries, accommodations, and transportation for both domestic and international trips.
- Meeting Management: Organize and prepare for meetings, including gathering documents and attending to logistics. Record minutes and follow up on action items.
- Communication: Act as the point of contact between the executive and internal/external stakeholders. Handle phone calls, emails, and inquiries promptly and professionally.
- Project Assistance: Support the executive with various projects and initiatives by conducting research, preparing reports, and managing timelines.
- Office Management: Oversee office supplies and ensure the workspace is organized and efficient. Assist with event planning and execution as needed.
- Confidentiality: Handle sensitive information with the utmost confidentiality and professionalism.
