What You’ll Do:
Facilities & Security Management
- Oversee the maintenance and upkeep of the co-working hub to ensure a safe, functional, and professional environment.
- Coordinate with maintenance staff and contractors for repairs, improvements, and daily upkeep.
- Ensure compliance with health and safety regulations and industry best practices.
- Implement and maintain security protocols to protect the facility, employees, and assets.
- Manage and respond to security incidents, coordinating with relevant authorities as needed.
- Ensure emergency preparedness, including fire drills and evacuation procedures.
Vendor & Contractor Management
- Establish and maintain strong relationships with vendors and service providers.
- Negotiate contracts to secure favorable terms and cost efficiencies.
- Monitor vendor performance and ensure the timely delivery of services and supplies.
Budgeting & Cost Management
- Develop and manage the facilities and hub operations budget, ensuring all expenses remain within allocated limits.
- Track operational expenses and identify areas for cost savings.
- Prepare financial reports and analyses to support strategic decision-making.
Space Planning & Utilization
- Optimize workspace usage to maximize efficiency and productivity.
- Plan and implement layout changes to accommodate operational and talent needs.
- Coordinate with internal teams for effective space allocation and future planning.
- Manage shared workspaces, meeting rooms, and workstations, ensuring they are well-maintained and available for use.
Talent & Client Management
- Build and maintain relationships with education partners and training providers to create local talent pipelines.
- Support the talent acquisition process for new hires joining the co-working hub.
- Manage staff schedules to ensure adequate facility staffing and operational efficiency.
- Oversee leave processes and payroll coordination with HR, ensuring compliance with company policies.
- Foster a collaborative and interactive community within the hub by organizing networking events, learning sessions, and engagement initiatives.
- Manage onboarding and offboarding processes for talent in the hub.
- Oversee the talent placement process by preparing talent for interviews, participating in placement discussions, and providing feedback.
- Host international clients during roadshows and business visits.
Reporting & Documentation
- Maintain accurate records of maintenance and repair activities, including schedules and costs.
- Prepare and present monthly reports on:
- Facility and hub operations
- Budget and expenses
- Talent movement (placements & bench)
- Payroll and workforce planning
- Ensure all compliance documentation (health, safety, and environmental regulations) is up to date for inspections or audits.
Who You Are:
- Experienced in Operations Management with a strong focus on facilities, workforce planning, and process optimization.
- Strong background in HR operations and staff coordination.
- Skilled in budgeting, cost control, and vendor management.
- Experienced in talent acquisition processes and client engagement.
- A proactive problem-solver and strategic thinker.
- Excellent communication and stakeholder management skills.
- Willing to travel as needed to oversee regional operations and business activities.
