Position:

Payroll Manager

Job Description:

Overall responsibility and accountability for payroll support services and has the primary goal of running efficient and accurate payroll support hubs.

Minimum Requirements:

Experience:

  • AX and D-Bit systems experience and sound knowledge essential
  • Payroll experience essential with at least 5 years in management roles essential
  • TES industry payroll experience advantageous

Education:

  • Grade 12 and a tertiary Accounting qualification essential

Roles and Responsibilities:

  • Reduce the incidence of payroll errors by monitoring error reports and streamlining processes.
  • Address challenges regarding timesheet information received from operations and provide recommendations on streamlining.
  • Manage project activities related to system changes (data collection, analysis, manipulation, and interpretation), keeping stakeholders updated with key milestones.
  • Oversee the coordination of timesheets for respective Distribution Centres.
  • Balance and check payroll to ensure there are no errors.
  • Print reports from the payroll system for checking.
  • Ensure all journals are posted before the payroll deadline.
  • Compile monthly payroll reports as required for Operations and Management.
  • Coordinate and organize all activities in the payroll department.
  • Ensure compliance in all areas of payroll (deadlines, commercial and legislative requirements).
  • Manage compliance and submission of all costing modules and effecting rate changes, allowances, and deductions.
  • Handle all adjustments and reversals as required.
  • Manage the invoice process – ensure invoices are received by the relevant department, and all queries are resolved timely.
  • Develop and review detailed Standard Operating Procedures.
  • Engage with stakeholders to drive the reduction of payroll errors.
  • Control all benefit payments, Year-end recon of bonus and leave payments.
  • Oversee bonus process and ensure all reports are checked and bonuses are paid correctly when required.
  • Ensure accuracy of rates and adherence to minimum wage requirements.
  • Update according to annual increases and Adhoc legislated requirements.
  • Ensure integrity and accuracy of all formulas contained in the costing template.
  • Liaise with Operations to maintain non-standard and client-specific templates with compliance.
  • Add or remove elements according to the costing SOP once the required authorization is received.
  • Source reporting data for use in business decisions as required.
  • Report on Leave & Sick leave balances.
  • Distribute monthly Red Flag payroll accuracy reports and engage management on improvement suggestions and initiatives.
  • Engage with Management on an ongoing basis to refine and improve current processes.
  • Develop and distribute dashboards providing a high-level overview of payroll efficiency, including data on payroll volume processed vs cost structure and accuracy indicators.
  • In conjunction with HR Officer, ensure effective distribution of payslips.
  • Ensure an updated set of payroll-related SOPs exist and that stakeholders understand their relevance.
  • Ensure adherence to all payroll-related policies.
  • Act as the contact person for all internal and external audits as required.
  • Monitor payroll-related activity and highlight trends to management that may present future business risk.
  • Establish a positive work environment that results in a committed, motivated, productive business unit and optimal retention of people.
  • Daily management and coaching of direct reports.
  • Ensure adherence to all HR policies, processes, and SOPs.
  • Ensure payroll team performance management, talent development, and succession planning processes are in place, supported by individual development plans for each employee.
  • Ensure team members are trained and developed to fulfill their roles and drive a learning culture in the business unit.
  • Ensure that the payroll team is adequately skilled to perform their tasks efficiently and coordinate any evident training requirements.
