Job description

The Fleet and Distribution Supervisor’s key responsibility is to manage the full operations of the Nexus Fleet together with hired fleet with the objective of maximizing efficiencies and return on investment. Another key responsibility is to ensure the timeous and accurate distribution of consignments; with the required planning and consolidation of all outbound consignments in order to maximize synergies and shared capacity.

The Fleet and Distribution Supervisor reports directly to the Wadeville Warehouse Manager on distribution and to the National Operations manager on Fleet.

The incumbent in this position is expected to assist the Company in achieving its vision and mission. Customer focus, Company growth, and a willingness to assist as needed are expectations from all employees.

Key Areas of Accountability:

  1. Receiving freight
    · Accurately scanning in of all freight handed over to distribution
  2. Sorting of Freight
    · Correct labelling and clearly visible labeling of consignments and pallets when making use of agents
    · Effective consolidation and palletization of freight to maximize loads.
  3. Route Planning
    · Correct vehicle allocation in terms of size required for load as per distribution guide from distribution manager
    · Execution of route planning as agreed with warehouse manager.
    · Briefing to drivers on route to be followed and timelines including any special instructions
  4. Scanning out of Freight
    · Accurately and timeous scanning out consignments for local and national distribution
    · Accurately prepare and scan freight for hand over to distribution agents
  5. Waybills, Manifests and Trip sheets
    · Accurate printing and handover to drivers with every consignment distributed – local and national drivers including agents
    · Ensure all special instructions are communicated and understood
  6. Loading of Vehicles
    · Local vehicles – All freight correctly loaded in conjunction with the route planned
    · Loading linehauls – All freight correctly loaded in conjunction with the route planned
    · Maximize the loading of vehicles and ensuring safety and protection of consignments against damages
    · Daily floor checks of aged consignments to ensure that no stock is left on the distribution floor.
  7. Vehicle and Distribution Management
    · Daily driver status checks for all overnight trips
    · Assist and resolve vehicle breakdowns – in depot and when on route
    · Vehicle inspection – daily – escalate vehicle abuse and damages
    · Management of inspections on fleetio system
  8. Debrief
    · Local Drivers on return to depot in accordance with SOP
    · Conduct the vehicle check process on fleetio as per the SOP
  9. Staff Management
    · Timekeeping and absenteeism
    · Staff development and training, including cross-training
    · Performance management
    · Safe work environment – OHASA.
    · Quality recruitment and selection of staff
    · Management of the disciplinary process in the region
    · Staff appearance – as per Company Uniform Standards and OHASA
  10. Fleet Management
    · Ensuring all vehicle Fleetio checks reports are up to date daily.
    · Ensuring vehicle km reports are also up to date
    · Ensuring service records are accurate and up to date.
    · Ensuring the Nedfleet fuel report is recorded into Fleetio monthly.
    · Ensuring fleet operating cost report is submitted monthly to management.
    · Ensuring daily Netstar vehicle tracking reports are actioned.
    · Ensuring Netstar violation report is submitted to Management weekly.
    · Ensuring all driver license and PDP are up to date annually.
    · Make sure that all vehicles are maintained and presentable to company standards.
    · Manage the claims process for any vehicles that have been involved in an accident.
    · Ensure we receive the most cost effect solution when managing repairs, services and maintenance of the fleet.
    · Rotate the fleet to various sites based on current vehicle state, KM’s and business requirements in order to maximise return on investment.
  11. Business process management:
    · Ensuring that Standard operating procedures are being followed
    · Relationship management and monthly reviews with selected delivery agents
    · Reconciling agent distribution accounts for payment.
    · Briefing third parties for quotes in order to prepare costings
    · Overseeing the customer Collections stock hand over and returns process
    · Assisting with outstanding POD’s by tracking consignments and alerting of exceptions that will influence OTIF deliveries
    · Obtaining quotes for Customer services as required
    · Assisting with the distribution plan and compile costs and data for the distribution supervisor
    · Management of traffic fine and documentation
  12. General
    · Maintenance and good keeping of Company assets and equipment.
    · Responsible for shrinkage and stock loss in their region
    · Ongoing cost Management
    · Leading the team within the region according to the company values

Job Types: Full-time, Permanent

Pay: R18000,00 - R22000,00 per month
