JOB DESCRIPTION: HUMAN RESOURCES OFFICER

Position Overview
Provide full human resources administrative support to the school operations and play an active role in all human resources transactional and transformational activities to enhance maximum utilisation of HR Systems to support the HR activities. Ensure proper documentation, record keeping, and filing within the HR department and provide timely access to the document and data when required.

Qualifications:

  • Grade 12 or Matric
  • National Diploma in Human Resources Management or relevant qualification
  • Degree in Human Resources Management will be advantageous.
  • SAGE, VIP, SAP certificate
  • Driver’s license

Preferred skills and experience

  • A minimum of 2 years’ HR experience in a similar role.
  • Strong computer experience including knowledge of various HR systems.
  • Previous experience working in the educational sector and within a multinational environment advantageous.
  • Solid understanding of payroll processes and documentation.
  • Understanding and experience in dealing with onboarding and exit documentation.
  • Sound understanding of benefits administration.
  • Multilingual and ability to engage with employees at a lower level in their own language.
  • Ability to engage and guide both staff and line management on processes and documentation required.
  • Sound knowledge of the South African Labour Laws.
  • Strong interpersonal skills and ability to work with the Unions.
  • Excellent administrative skills and experience.
  • Experience in SAGE People or Sage Payroll.

  • Effective staff engagement through HR Policies and Processes orientation through the HR Portal.
  • Smooth admin and payroll process.
  • Sound exits management process.

Performance responsibilities:

Recruitment and selection

  • Administratively support HR department on the release of adverts, shortlisting, and setting interviews.
  • Support HR recruitment process by providing credential checks and ensure that records are kept safely.
  • Collect all onboarding documents and ensure that employees are captured on the HR System and registered with Payroll.
  • Open and file employee files and ensure that all relevant employee details are on file.
  • Facilitate the application of employee benefits such as medical aid, pension, life, and dread disease cover.
  • Ensure proper filing of completed interview guides are kept and made available upon requests.

Employee Relations

  • Receive and file all disciplinary warnings and ensure that records are kept safely.
  • Assist in taking minutes during the disciplinary hearings.
  • Receive and submit to payroll all the union application and cancellation forms.
  • Provide monthly union membership lists and do conciliation with payroll.
  • Retrieve documents and assist in the compilation of evidence in preparation for disciplinary processes.
  • Provide administrative support to Employment Equity Committee, including keeping attendance registers.
  • Represent the company at CCMA in the conciliation processes and occasionally during Arbitration processes.

Training and Development

  • Assist with the collection of Individual Development Plans or forms part of the Team Development Plan.
  • Assist with the collection of training details and ensure that they are recorded and reported accordingly.
  • Receive and file all training attendance registers and file certificates received.
  • Facilitate performance management activities, including ensuring that annual performance scorecards are discussed and agreed upon at the beginning of the school year.

HR Administration

  • Ensure proper record keeping including employee filing, training records, interview records, etc.
  • Ensure accurate payroll input and that it is submitted in time.
  • Play an active role in the benefit application, such as medical aid, pension, and other aspects.
  • Ensure information is updated from time to time including the family information.
  • Ensure that all employees complete the correct engagement documents.
  • Facilitate the change of banking details, medical aid, marital status, etc.
  • Produce leave reports and advise line management on leave forfeiture and other leave-related issues.
  • Facilitate the exit documentation for exiting employees.
  • Keep all probation and onboarding documents for newly appointed employees.
  • Play an active role during the wellness days and wellness programs.
  • Play a critical role in the collection and recording of performance scorecards.

Policies and Procedures

  • Drive HR policies awareness and educate Ops staff on different HR policies and procedures.
  • Guide and assist line management to comply with HR processes.
  • Assist with leave administration in the ESS system.

School hours: This is a 45-hour per week position and may be required to work longer hours from time to time.
