Job title: Human Resources Officer

Job Location: Gauteng, Johannesburg

Qualifications:

  1. Grade 12 or Matric
  2. National Diploma in Human Resources Management or relevant qualification
  3. Degree in Human Resources Management will be advantageous
  4. SAGE, VIP, SAP certificate
  5. Driver’s license

Preferred Skills and Experience:

  1. A minimum of 3 years HR experience
  2. Strong computer experience including knowledge on various HR systems
  3. Previous experience working in the educational sector and within a multinational environment is advantageous
  4. Understanding and experience in dealing with onboarding and exit documentation
  5. Sound knowledge of the South African Labour Laws
  6. Strong interpersonal skills and ability to work with the Unions
  7. Excellent administrative skills and experience
  8. Multilingual and ability to engage with employees at a lower level in their own language
  9. Strong mediation and negotiation skills
  10. Experience in VIP or Sage Payroll

Performance Responsibilities:

Recruitment and Selection:

  1. Administratively support HR department, on the release of adverts, shortlisting, setting interviews
  2. Support HR recruitment process by providing credential checks and ensuring that records are kept safely
  3. Collect all onboarding documents and ensure that employees are captured on the HR System and registered with Payroll
  4. Facilitate the application of employee benefits such as medical aid, pension, life and dread disease cover
  5. Ensure proper filing of completed interview guides are kept and made available upon requests

Employee Relations:

  1. Receive and file all disciplinary warnings and ensure that records are kept safely
  2. Assist in taking minutes during the disciplinary hearings
  3. Receive and submit to payroll all the union application and cancellation forms
  4. Provide monthly union membership lists and do conciliation with payroll
  5. Retrieve documents and assist in the compilation of evidence in preparation for disciplinary process
  6. Provide administrative support to Employment Equity Committee, including keeping attendance registers
  7. Represent the company at CCMA in the conciliation processes and occasionally during Arbitration process

Training and Development:

  1. Assist with the collection of Individual Development Plan or forms part of the Team Development Plan
  2. Assist with the collection of training details and ensure that they are recorded and reported accordingly
  3. Receive and file all training attendance registers and file certificates received
  4. Facilitate performance management activities, including ensuring that annual performance scorecards are discussed and agreed upon at the beginning of the school year

HR Administration:

  1. Ensure proper record keeping including employee filing, training records, interview records etc
  2. Ensure accurate payroll input and that it is submitted in time
  3. Play an active role in benefit applications such as medical aid, pension and other aspects
  4. Ensure information is updated from time to time including family information
  5. Ensure that all employees complete the correct engagement documents
  6. Facilitate the change of banking details, medical aid, marital status etc
  7. Produce leave reports and advise line management on leave forfeiture and other leave related issues
  8. Facilitate the exit documentation for exiting employees
  9. Keep all probation and onboarding documents for newly appointed employees
  10. Play an active role during wellness days and wellness programs
  11. Play a critical role in the collection and recording of performance scorecards

Policies and Procedures:

  1. Drive HR policies awareness and educate Ops staff on different HR policies and procedures
  2. Guide and assist line management to comply with the HR processes
  3. Assist with leave administration in the ESS system
