Purpose of the Role :
The Data Centre Administrator will provide essential administrative support to the Data Centre Management and Site Supervisor.
Key Objectives :
- Manage calendars, schedule meetings, appointments, and site access (internal and external).
- Compile and distribute meeting minutes.
- Prepare training packs and organisational reports as needed.
- Manage departmental training (internal and external).
- Oversee duty and shift rosters across all teams.
- Request quotations, raise purchase orders, and process invoices.
- Maintain databases for testing instruments and ensure annual / quarterly calibration.
- Manage tools, uniform, and health & safety registers in line with Teraco's HSE policy.
- Maintain stock levels of supplies, tools, PPE, and critical spares.
- Arrange and receive stock shipments between branches and regions.
- Conduct monthly stock takes and manage purchasing.
- Print, scan, and upload job cards and supporting documentation to asset management systems.
- Follow up with contractors to ensure timely receipt and review of maintenance and installation documentation.
- Collaborate with on-site teams and external contractors to maintain and repair company assets.
- Schedule and manage site maintenance, planned and unplanned events.
- Review working methods to ensure SLAs are met.
- Oversee daily team activities and ensure jobs are completed within predefined timelines.
- Create, distribute, follow up, and close tickets.
- Manage and update incoming alarms, dispatching technicians as needed.
- Log and close call-outs with service providers during business hours.
- Collate and manage call-outs raised outside business hours.
- Notify clients of maintenance, repairs, and outages.
- Compile client-specific incident reports as needed.
- Assist with ad hoc office and facility duties.
- Update internal communication groups during issues.
- Ensure handovers are compiled, actioned, and followed through.
- Liaise with management to schedule installation activities.
- Present weekly ticket reports to the Data Centre Manager.

Qualifications and Experience :
- Up to 2 years of office management or administration experience.
- Minimum 2 years of relevant Data Centre experience (advantageous but not mandatory).
- Knowledge of Data Centre environments and critical infrastructure (advantageous).
