Purpose of the Role :

The Data Centre Administrator will provide essential administrative support to the Data Centre Management and Site Supervisor.

Key Objectives :

  1. Manage calendars, schedule meetings, appointments, and site access (internal and external).
  2. Compile and distribute meeting minutes.
  3. Prepare training packs and organisational reports as needed.
  4. Manage departmental training (internal and external).
  5. Oversee duty and shift rosters across all teams.
  6. Request quotations, raise purchase orders, and process invoices.
  7. Maintain databases for testing instruments and ensure annual / quarterly calibration.
  8. Manage tools, uniform, and health & safety registers in line with Teraco's HSE policy.
  9. Maintain stock levels of supplies, tools, PPE, and critical spares.
  10. Arrange and receive stock shipments between branches and regions.
  11. Conduct monthly stock takes and manage purchasing.
  12. Print, scan, and upload job cards and supporting documentation to asset management systems.
  13. Follow up with contractors to ensure timely receipt and review of maintenance and installation documentation.
  14. Collaborate with on-site teams and external contractors to maintain and repair company assets.
  15. Schedule and manage site maintenance, planned and unplanned events.
  16. Review working methods to ensure SLAs are met.
  17. Oversee daily team activities and ensure jobs are completed within predefined timelines.
  18. Create, distribute, follow up, and close tickets.
  19. Manage and update incoming alarms, dispatching technicians as needed.
  20. Log and close call-outs with service providers during business hours.
  21. Collate and manage call-outs raised outside business hours.
  22. Notify clients of maintenance, repairs, and outages.
  23. Compile client-specific incident reports as needed.
  24. Assist with ad hoc office and facility duties.
  25. Update internal communication groups during issues.
  26. Ensure handovers are compiled, actioned, and followed through.
  27. Liaise with management to schedule installation activities.
  28. Present weekly ticket reports to the Data Centre Manager.

  • Advanced Microsoft Office skills.

Qualifications and Experience :

  • Up to 2 years of office management or administration experience.
  • Minimum 2 years of relevant Data Centre experience (advantageous but not mandatory).
  • Knowledge of Data Centre environments and critical infrastructure (advantageous).
