Our client, a leading logistics and trading firm based between Stellenbosch & Brackenfell, is seeking a skilled Customs and Logistics Coordinator to manage import / export processes and customs clearances across multiple ports.
Job Summary
Our client requires a detail-oriented professional to process Import / Export Bills of Entry, coordinate customs clearances, manage shipment documentation, and ensure compliance with regulations.
The role involves working with Trading and Logistics teams, preparing invoices in FUSION, handling deferment payments, and managing month-end invoicing.
Operating from the Western Cape, you'll support Cape Town, Port Elizabeth, East London, and Richards Bay, requiring strong technical, analytical, and communication skills to thrive under pressure.
Principal Duties and Responsibilities
- Frame and process Import / Export Bills of Entry, coordinating clearances for all ports and customs branches.
- Liaise with Trading and Logistics to obtain ETA, shipment documents, discharge quantities, and US Dollar FOB / Freight values for clearance and invoicing.
- Prepare Supplier Commercial Invoices in FUSION per Port of Discharge, ensuring Logistics review and authorisation.
- Open and maintain vessel files for clearing documents and records.
- For Cape Town / Port Elizabeth / East London: Frame Bills of Entry in Durban, submit electronically to Customs Cape Town under Importer's Deferment, and instruct agents to collect SARS Release Notifications, pass / adjust Landing and Cargo Dues Orders, and coordinate with Agriculture, Port Health, and SABS.
- For Durban / Richards Bay: Frame and submit Bills of Entry to Customs Durban, collect / file SARS Release Notifications, process clearances with relevant departments, email documents to terminals, and pass Cargo Dues Orders via Ports Online System (no Landing Order for "Leased Hold" cargo).
- For Exports: Frame entries in Durban and facilitate cargo movement, adapting import processes as needed.
- For Deferment Payments: Process payments (up to R35m Duty, R15m additional Duty, 1 billion VAT) for Durban / Cape Town 1-2 days before due dates (1st monthly), using FUSION.
- Authorise via Logistics, forward to Accounts, and update Customs systems to avoid 1.5% interest penalties.
- Notify Accounts 3-5 days prior, with March Year-End payments split (20th-24th, 29th-31st).
- For Permits and Compliance: Apply for permit renewals / new permits (Agriculture and others), process payments for permits, customs, Plant / Health Departments, ACS, and related fees via FUSION for regulatory compliance.
- For Month-End: Raise AR / AP invoices for products uplifted by month-end and assist Vessel Accounts with queries.
Knowledge, Skills, and Abilities Required
- 5+ years' experience in clearing and forwarding.
- Proficiency in Microsoft Excel, Word, Outlook, and ACS (essential).
- Comprehensive knowledge of local / international customs clearing procedures, transportation logistics, silo handling, and bulk commodity contracts.
- Strong verbal / written communication, presentation, numeracy, technical, and analytical skills.
- Ability to multitask, meet deadlines, and work innovatively in a high-pressure environment.
- Team player with meticulous attention to detail, willing to work overtime / weekends when needed.
Qualifications
Relevant tertiary qualification in Logistics, Supply Chain Management, or related field (preferred). Proven expertise in customs and logistics coordination.
