Core Description

Provide administration functions, financial administration and coordination and support functions to the Security Services and Management office in order to ensure effective management of the Security services.

Job Responsibilities

  1. Contract administration associated with the Security projects
  2. Coordinate the information required for bi-weekly, monthly, progress Updates
  3. Maintain the Security shared folder for Security finance governance, compliance and all security-related information
  4. Report on the completeness of information loaded onto SharePoint including suppliers' details
  5. Coordinate information and prepare Monthly Spent analysis
  6. Coordinate receipt of and prepare invoices for approval and processing
  7. Coordinate information from vendors for Reporting on capex budget and monitor utilization
  8. Coordinate and compile Project closeout documents including associated paperwork
  9. Liaise with Finance division to ensure that the processing of supplier payments is done within required timeframes
  10. Prepare and coordinate documentation for raising Purchase Orders
  11. Keep a schedule of all contracts' expiry dates including associated annexures
  12. Manage and track Personal Protective Equipment (PPE) orders
  13. Upload information onto IT portals including Ariba, SharePoint, ICRES and any other related systems
  14. Working with ICRES portal: Verification of ICRES Numbers including creation workflows
  15. Arranging and coordinating work references with relevant stakeholders
  16. Maintain and update security databases/ spreadsheets
  17. Provide general administration support
  18. Compile security related statistics
  19. Engage with suppliers regarding invoices and clarify discrepancies
  20. Manage ID card stock and stationary
  21. Courier ID card stock and stationary to regions
  22. Compile and provide support with reports/ memorandums, etc.
  23. Assign hotline reports
  24. Liaise with security regional offices
