Acknowledge instruction, perusal and understanding of loan conditions, performing searches and interpreting deeds office records, initial contact with client and the linked attorney and opening of the file.
Preparation of loan documents for signature by client.
Preparing various other conveyancing documents such as related applications, powers of attorney, waivers of preference, resolutions, conveyancer’s certificates etc.
Weekly reporting to clients and bankers and liaising with managing agents and linked attorney firms.
Preparing lodgement documents and attending to the necessary lodgement arrangements.
Ensuring all loan conditions are met in order for matters to be registered successfully at the relevant deeds registry within satisfactory turn-around-time.
Attending to all financial aspects of transactions, collecting costs / disbursements from clients and attending to general accounting queries.
Requirements
Skills and Knowledge :
Thorough understanding of conveyancing processes in general, i.e. transfers, bonds, cancellations etc.
Understanding of various loan conditions, title conditions and being able to interpret deeds office records and surveyor general diagrams.
Experience in commercial bond registrations will be an added advantage.
The ability to attend to instructions independently from inception up until registration at the relevant deeds office and to effectively manage high volumes.
Strong written and verbal communication skills for professional correspondence and client interaction.
Team-oriented with excellent interpersonal skills and a proactive approach.
Typing speed of 45+ words per minute.
Meticulousness and attention to detail.
Fully conversant in Microsoft Office, LexisConvey, Webconvey, Stordoc and L@W / E4.
Qualifications and Experience
Secretarial Diploma with excellent typing skills.
Minimum of 7 years’ experience attending to mortgage bond registrations.
