Job description

The Contracts Administrator is responsible for the administration of various contracts for multi-party renewable energy projects as well as the monitoring and administration of the contracts in relation to the required scope of work which includes managing variations and working closely with the project teams to ensure project stakeholders are notified in accordance with the various contractual provisions.

The Contracts Administrator shall assist in the analysis and comparison of contract terms and pricing during EPC, O&M and third-party agreements.

The Contracts Administrator shall also ensure that the Procurement Policy of Engie SA is administered correctly when engaging with third parties in procurement related matters.

The Contracts Administrator shall be required to deliver small scale projects from inception stage (request for information) to close out stage (final completion) of the project.

Commercial Correspondence: Drafting and distribution of notices under the various Contracts. Record keeping and maintaining the contractual Notice Register comprising of Notices to and from the Project Stakeholders. Diligently storing notices and project related information on SharePoint.

Cost Management: Management of the cost allocated to each Consultant / third party / Service Provider by keeping track of all invoices and setting them off against the allocated budget. Creating Purchase orders for new Agreements. Checking and evaluating invoices. Coordinate the preparation of the monthly Cost Certificate with Project Finance and the Finance Team. Coordinate the preparation and administration of other Cost Certificates / Payment Milestones in accordance with the relevant Contracts. Performing analysis and pricing comparisons. Provide input into the annual budget and coordinate with Finance Team. Manage all Variation orders in accordance with the relevant agreements.

Reports: Consolidating, reviewing, preparing, and providing input into reports associated with the Construction and Operations of the projects as per the relevant project agreements. Input into other reports provided by third party i.e. Owner's Engineer and LTA.

Contract Management: Ensure operational project obligations in terms of its respective EPC, PPA and O&M Contracts are met and support respective subject leads in terms of the obligations of the remainder of the project documents. Implement the obligations tracker for all operational projects and present the PPA & O&M Contract Obligations tracker to the BTE teams. Contract administration and management during pre and post project execution. Managing the claims process and assisting relevant stakeholders in resolving disputes. Assist in the implementation of dispute resolution practices to effectively mitigate contractual risk. Assist in managing various consultants (IE, OE & LTA).

Meetings: Attending all key meetings and taking minutes / action points of the meetings. Distribution of accurate meeting minutes to relevant stakeholders.

KEY ACTIVITIES: Internal Communication: Project Team, Finance department, All levels of staff (during Financial Close). External Communication: Single Buyer Office, Independent Power Producers Office, External Lawyers, EPC Contractor and O&M Contractor, Suppliers and Consultants, Land owners.

Qualifications & Experience: Quantity Surveying Qualification (preferable) or Construction Management Qualification. 4 - 7 years relevant experience in Renewable Energy Construction Industry.
