Tertiary Qualification: Business Administration NQF 4

- SHERQ Training or equivalent (Advantageous)

Computer Literacy Level: Intermediate

Additional Computer Skills: Proficient in Excel for data management and reporting

- Effective working knowledge of warehouse management system

Job Related Requirements: Minimum 2 years relevant experience in industry with experience in all job related requirements relating to QSHE

Main purpose of the role:

The successful incumbent will be responsible for the training, implementation, support, monitoring and control of all Quality, Safety, Health and Environmental (QSHE) requirements & processes aligned to the approved quality management system and all relevant legal and commercial requirements. This includes maintenance of all QSHE protocols and site licences / accreditations via frequent documented audits. The incumbent will be deemed a roaming resource who advances and supports the functions of the National Compliance/QSHE Manager’s portfolio.

Duties and Responsibilities:

  1. Ensure all shipments within DSV’s control are compliant with the current Quality, Safety, Health, and Environmental (QSHE) Policy, as well as standard operating procedures to mitigate any potential risks associated with the supply chain;
  2. Ensure compliance to DSV’s QSHE policy, standard operating procedure as well as statutory guidance documents whether Client or DSV oriented;
  3. Review, write, train and implement procedures / processes / workflows or other, as and when required to ensure compliance with adopted Business Management System (BMS) within the respective DSV warehouse;
  4. Active participation in audits whether internal, client, statutory or other;
  5. Active participation in non-conformance closure through appropriate implementation of remedial action to ensure robustness of adopted QSHE system;
  6. Active participation in continual improvement;
  7. Full participation in waste management while providing support to operational management and / or other;
  8. Manage all locally controlled business contractors while coordinating training as and when required;
  9. Proactive engagement within operational undertakings to ensure prompt escalation to relevant manager in the event of system failure and / or operational weaknesses or necessary enhancements;
  10. Ensure prompt issue resolution and optimal consulting and support in respect of storage, handling and transportation such to ensure deliverance of sales orders, operational demands and other;
  11. Support the Management team through the communication of current issues and continuous improvement opportunities identified at Branch level.
  12. Submission of weekly housekeeping reports to operations manager;
  13. Daily / Weekly / Monthly inspections aimed at QSHE
  14. Active participation in security matters to mitigate stock loss, theft or misappropriation including associated report writing in respect of noted incidents;
  15. Active participation in managerial tasks;
  16. Departmental resource management to ensure QSHE compliance;
  17. Implementation and management of OHS standards;
  18. Management meeting attendance;
  19. Facility and Equipment: Ensure that entire facility and all equipment is continually maintained to required health and safety standards. This includes updated Facility Maintenance Register and MHE Register;
  20. Contractor Management: Ensure all contractors are on DSV preferred provider list, meet all HSE requirements (compliant licences, accreditations, processes, staff, training and equipment), have suitable safety file and are audited daily while on site to ensure HSE standards are met at all times;
  21. Compliance: Must ensure full site compliance, including the following: DSV Policies, Health and Safety Regulations, Processes, Work Instructions, Maintenance Schedules, Audits (internal and external), licences, accreditations, Local Authority requirements inclusive of Regulations pertaining to Building/Fire Regulations or similar;
  22. QSHE Management, including ISO 9001:2015/14001:2015/45001:2018. ISO 13485:2016 advantageous;
  23. Appointment and maintenance of all roles within SHERQ framework;
  24. Training: Ensure all parties are trained effectively by accredited parties and licences are renewed in time to prevent lapse;
  25. Compliant product storage aligned with MSDS category;
  26. Problem Solving: Effective Root Cause Analysis, Trend Analysis, Problem Solving and implementation of Corrective and Preventative Measures;
  27. Incident Reporting: On time, professional, accurate and thorough incident reporting training, support and execution for internal and external clients;
  28. Auditing: Preparation, execution and reporting of various site SHERQ audits;
  29. Management: All managerial functions required within job description (Planning, Organising, Leading, Controlling, Monitoring) carried out independently, effectively and reliably;
  30. Communication: Communicate effectively (written and verbal) to manage and meet both internal and external customer expectations;
  31. Commercial: Ensure operations always compliant within framework of client contracts and SLA’s, supplier agreements and local authority legal requirements;
  32. Waste Management aligned with Environmental Targets: Measure and drive continuous improvement relative to ‘Reduce, Reuse and Recycle’ policy, and ensure any recycling is compliant.
