Job description

The position requires a pro-active, self-motivated and process-oriented individual with excellent observation, communication and learning skills. These traits are critical for this position as to successfully define the business needs of JAS Worldwide and its clients, while ensuring alignment and compliance to the global standard processes and procedures. Additional responsibilities include process improvement, testing, training and support.

The ability to challenge the status quo and to work across organizational silos, logical thinking, a professional demeanor and strong contribution in a team environment are required for this position. The Business Analyst must be able to effectively manage multiple tasks simultaneously, and to work in a dynamic and fast paced environment.

ESSENTIAL FUNCTIONS & RESPONSIBILITIES:

  • Discovers, evaluates, (re-) designs and standardizes Business Processes within the JAS Worldwide Organization.
  • Transition Business requirements into the standardized global application landscape.
  • Drive operational excellence across business applications and countries, including facilitation of new product / service offerings resulting from modular / standardized processes.
  • Optimize Business Processes or implement new solution scheme from process design to deployment of standardized processes into business applications.
  • Document the needs and requirements of internal & external clients.
  • Engage Subject Matter Experts upfront to capture relevant use cases.
  • Involve Senior Operational Management to ensure alignment with strategic goals, obtain buy in and support.
  • Prepare and facilitate joint workshops with key stakeholders to ensure accurate and timely completion of tasks per the Project Plan.
  • Capture Business Requirements, identify gaps, facilitate risk / benefit analysis and prepare Change Requests.
  • Support Project Management planning by providing baseline data for:
    • MDM (Master Data Management) Team
    • EST (Enterprise Solutions Team)
    • Training Department
    • Support and Implementation Team
  • Engage in defining functional system enhancements and/or process improvements in collaboration with Sales, Business Development, Operations, Accounting and other roles.
  • Collaborate with and support internal Development Team by documenting solution design.
  • Document and test functional enhancements and configuration changes in close collaboration with business units and Subject matter experts.
  • Train key stakeholders on standard processes and use of standard corporate systems.
  • Document solution design.
  • Provide Test scripts.
  • Prepare Training material and use cases.
  • Maintain application desk references, user guides and support manuals.
  • Support Subject Matter Experts, Champions and other key stakeholders throughout the project life cycle of new changes and system implementations.
  • Maximize modularisation and re-usability in client projects and maintainability / extendibility of overall system and process landscape. Define, create and maintain standard templates as required.
  • Introduce and promote global business rules, standardized business processes and system use.
  • Depict local vs. global requirements during process documentation.
  • Continuously improve processes and application usage.
  • Document and maintain processes, interface with internal and external development teams.
  • Communicate and coordinate outsourced work efforts with 3rd parties as applicable.
  • Adhere to all published organizational, safety policies and procedures as described in the JAS Forwarding employee handbook.
  • Continuous documentation of Business Requirements, Business Processes per the Global Standards.
  • Timely and complete delivery of documentation per Project Management targets.
  • Consistent and accurate contents while following the established documentation standards.

QUALIFICATIONS:

  • Good understanding of Business Process Improvement techniques such as Six Sigma, DMAIC and/or other concepts.
  • Project Management background and experience in managing actual projects.

Technical/Software

  • Experience on MS Visio and/or other process mapping tools is of advantage.
  • Strong computer skills including Microsoft Word, Outlook, Excel and PowerPoint.
  • Familiar with PDF and Snagit.
  • Should be comfortable with communication tools such as Skype, ZOOM, BT Conferencing, FaceTime and others.
  • SQL knowledge is of advantage.
  • Cargowise knowledge is of advantage.

Language

  • Excellent knowledge of oral and written English language. Ability to verbally communicate information in a clear and concise manner.
  • Additional language skills - specifically Spanish and/or Italian - are of advantage.
  • Must have ability to read and interpret documents such as Business Cases, Project Plans, Business Requirements, User Guides, Training Manuals, operating and maintenance instructions, and procedure manuals.

Mathematical Skills

  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar / pie graphs.

  • Ability to learn quickly.
  • Strong Organizational skills – Ability to effectively handle multiple tasks simultaneously, prioritize, and execute on assigned deliverables.
  • Facilitation skills - emphasis on coordinating relationships with internal functions/groups; ability to solve issues by coordinating across cross-functional areas.
  • Sound judgment and the ability to work under time pressures.
  • International experience and previous exposure to other cultures would be highly desirable.
  • Demonstrable track record of innovation and challenging the status quo.
  • Able to manage outcomes to timeline.
  • Able to work with in a matrix reporting environment, build and maintain strong relationships with peers, stakeholders and management who will largely be based remotely.
  • Solution driven with the willingness and ability to implement innovative ideas to improve processes and procedures.

EDUCATION AND EXPERIENCE:

  • College degree in Accounting, Business, Marketing, Communications, International Logistics, or equivalent of education is highly preferred.
  • Experience in IT Development environment highly preferred.
  • Freight forwarding experience preferred.
  • Previous Business Analysis experience is required.
  • Project Management experience preferred.

This position is performed in climate-controlled internal office environment working under normal office conditions. This position will require travel including domestic and international.

The JAS Forwarding Information Technology department is a twenty-four (24) hour per day, seven (7) day per week, and three hundred sixty-five (365) days per year operation. This position will be required to participate in a schedule that may require evening, weekend and holiday working hours.

While performing the duties of this job, the employee is regularly required to sit; stand; walk; use hands and finger to feel and handle; reach with arms and hands; talk and hear.
