The Assistant Property Manager is responsible for supporting the effective and efficient management of a portfolio of properties. This role assists the Property Manager in maximizing profitability, maintaining properties, optimizing tenant mix, minimizing vacancies, and implementing business and financial strategies. The Assistant Property Manager oversees operational, facilities, administrative, and people functions to ensure the highest standards are met within the assigned performance indicators.
Role Description
Operational Management
- Operational Management:
- Support the implementation of property practices, policies, and processes across the assigned portfolio.
- Assist in sourcing tenants, managing letting arrangements, drafting leases, and ensuring lease compliance.
- Collaborate with stakeholders to meet property and infrastructure needs.
- Build and maintain networks with landlords, developers, and other key stakeholders in the property market.
- Contribute to business growth through lead generation and property management referrals.
- Support brand, marketing, and PR teams in attracting and driving traffic to shopping centres.
- Identify opportunities to maximize the utilization of buildings within the portfolio.
Facilities Management
- Assist in the efficient operation of all buildings and facilities within the assigned portfolio.
- Monitor contractor performance and ensure compliance with contractual agreements and safety regulations.
- Conduct regular inspections to ensure compliance with organizational and regulatory requirements.
- Coordinate maintenance requirements and oversee service providers.
- Manage technical maintenance control.
Arrears Management
- Hold arrears meetings with Property Administrators monthly.
- Collect 85% of total arrears by the 7th of the month.
- Update legal files and instructions to Attorneys.
- Oversee the provision of bad debt
Financial Management
- Support the preparation and management of the annual budget for the assigned portfolio.
- Assist in generating and reporting on income and expense control.
- Conduct regular inspections of income statements, expenses, and variances.
- Assist in the preparation of final accounts for sold buildings.
- Contribute to audits, ensuring compliance and timely submission of reports.
- Assist in managing rental and utilities arrears, including debt collection processes.
- Assist in municipal expense and insurance recoveries.
- Prepare and report on the financial performance of the portfolio.
People Management
- Support the Property Manager in managing the team to meet performance, compliance, and service standards.
- Assist in providing learning initiatives to enable the team to achieve performance expectations.
Qualifications and Experience:
- Bachelor's degree in Finance, Property Studies, Business, Legal, or equivalent (essential).
- Certificate in Shopping Centre Management (beneficial).
- +3 years of experience in a similar role managing a property portfolio (essential).
- Exposure to financial or management accounting in a property environment (essential).
- Knowledge of property disciplines, negotiations, agreements, contracts, and financials (essential).
- Understanding of the property retail market and shopping centre development (essential).
- Ability to travel at short notice as per operational requirements (essential).
- Proficiency in MS Office 365, particularly advanced Excel skills (essential).
- Exposure to both RSA and Non-RSA operations and properties (beneficial).
- Exposure to SAP RE (beneficial).
