Assets Management Controller

JOB TITLE : Assets Management Controller

LOCATION : Johannesburg

DURATION : Permanent

Purpose of the Position

This position will serve to co-ordinate and undertake the effective functioning of the asset management processes based on required internal control measures, including co-ordinating the procurement of day-to-day goods and services for Njilo Consulting.

Minimum Requirements

1. National Diploma in Finance or Accounting or related qualification
2. 3-5 years' experience in asset management environment
3. Accounting standards (IFRS for SMEs)
4. Asset Management Systems
5. Driver's License code (C1)
6. Added advantage: AM or any relevant asset management software

Core Responsibilities

1. Contribute to the design and development of the Asset Management System
2. Ensure that all assets are insured and damages to assets are claimed on time.
3. Ensure all assets are recorded and barcoded in the asset register.
4. Perform physical asset verification and submit reports.
5. Establish the asset management capability of the organisation
6. Monitor and review the capturing of all physical assets in the physical asset management register
7. Monitor and review the allocation of assets in accordance with the relevant policy and procedures
8. Manage the determination of the asset allocation according to policy and procedure of the organisation
9. Manage capturing of asset information on the inventory list (room list) of the asset holder
10. Make follow up on missing assets to ensure that they are accounted for
11. Manage the performance of asset verification according to prescribed time frames
12. Compile reports on the state of assets
13. Ensure compliance with Procurement Management policies.
14. Manage the disposal process
15. Follow asset management procedure for all assets always delivered as per policy and procedure – updated asset registers.
16. Assist with Facility Management processes.
17. Assist in any other Procurement Management responsibilities as advised by the Procurement Manager
18. Manage the transfer of inter-organisational assets.
19. Manage the improvement of operational controls as reported on by Internal Audit.
20. Manage the inventory, ensuring sufficient stock levels to meet business needs by overseeing purchases, replenishing stock, and monitoring stock, ultimately ensuring the right products are available at the right time
21. Ensuring the correct asset classification, recognition and measurement in terms of accounting standards.

Procurement Administration

1. Organise and monitor asset register
2. Advise staff on proper management of assets
3. Ensure that supplier deliveries are in line with contract deliveries requirements, e.g. price, quality – minimum returns on deliveries
4. Ensure appropriate filing and stamping of documents as appropriate
5. Follow asset management procedure for all assets delivered as per policy and procedure – updated asset registers at all times.
6. Follow asset management procedure for all assets sent to suppliers for repairs
