Duties and Responsibilities:

Student Application & Admission Administration

  • Collaborates with the campus Student Recruitment team to manage student admissions-related queries.
  • Follows up with the Student Recruitment team for missing student information to finalize admissions queries.
  • Evaluates student applications against set admission criteria and communicates outcomes.
  • Liaises with the campus Student Recruitment team during the evaluation and assessment process.
  • Escalates complex admission queries to the Admissions Manager.
  • Manages admission waitlists, declined admissions, expired offers, and the issuance of new offers of study.
  • Handles document management and issuance of admission letters.
  • Determines conditions for student admission and ensures follow-up.
  • Verifies eligibility of students for academic programs.
  • Tracks admissions progress through to registration.
  • Reports on admissions progress to the Head: Student Recruitment & Sales Operations Manager (Distance & Admissions).
  • Adheres to established service level agreements for the admissions process.
  • Coordinates with the Finance department on finance-related admission issues.
  • Ensures admission compliance and supports national admission projects.

Student Registration Administration

  • Applies holds on student accounts based on outstanding documentation or conditional admissions.
  • Verifies registrations against admission criteria.
  • Completes and uploads School of Education counseling documentation for correct module registration.
  • Manages the new student transfer process and coordinates with Finance for processing.
  • Processes registrations for new SLP & NQP students as required.
  • Oversees external credit application processes and supports students through outcomes.
  • Monitors National Senior Certificate (NSC) exception reports weekly.
  • Ensures compliance of international students with documentation requirements.
  • Re-audits registration files in line with deadlines set by the Registrar.
  • Tracks and monitors conditional admissions such as USAF/SAQA qualifications, visas, and other requirements.
  • Adheres to established registration process service level agreements.

Reports and Other Duties

  • Trains new student recruitment staff and upskills the sales team as admission processes evolve.
  • Maintains continuous communication with the Assistant Registrar to resolve queries.
  • Complies with POPIA legislation for new student admissions.
  • Performs additional administrative and reporting duties as required.

Minimum Qualification Requirements:

  • National Diploma/Advanced Certificate (NQF Level 6). Advanced Diploma or Degree (NQF Level 7) advantageous.

Minimum Work Experience Requirements:

  • At least 2 years of administrative experience, preferably in admissions.

Special Requirements:

  • Driver’s license (if public transport is not available) and flexibility to work required shifts.
