Administrative Officer B2 (Job Level 11.2)

The MBChB Unit provides central administrative support and coordination of activities related to the presentation of the undergraduate MBChB programme in the Faculty of Medicine and Health Sciences at Stellenbosch University (SU).

Duties/Pligte

  • Providing administrative support within the MBChB Unit, including administrative support to the MBChB Programme Coordinator.
  • Providing miscellaneous administrative support for selected academic modules and rotations, including:
  • Taking responsibility for meetings, including organisation, minute taking, and finalising reports;
  • Providing support for allocating students to clinical sites and groups;
  • Populating student placements on the Faculty's academic management system (Placement Plus);
  • Tracking student participation;
  • Organising training events for staff involved;
  • Managing, uploading, coordinating, and scheduling academic activities of the programme on the Faculty's academic management system (Placement Plus);
  • Booking venues;
  • Loading marks;
  • Ensuring the timeous scheduling of assessments according to standard operating procedures;
  • Distributing online student evaluation surveys;
  • Curating and managing content on the University's learning management system (FMHS Learn), including uploading material, placing announcements, and setting up assessments;
  • Assisting with addressing and referring queries from students and staff.
  • Providing general office support to the MBChB office, handling electronic communication and/or telephone calls.
  • Assisting with the dissemination of relevant information to students / stakeholders.

Job Requirements/Pos Vereistes

  • Higher Certificate in Office Administration (NQF 5) or similar.
  • Up to three years' relevant experience in student administration at a tertiary institution.
  • Knowledge of advanced clerical, operational or customer service skills acquired through education, experience or on-the-job training.
  • Advance knowledge of and skill in Microsoft Office software as well as sharing software.
  • The ability to function under pressure.
  • Excellent interpersonal skills.

Recommendation/Aanbeveling

  • Knowledge of policy and procedures related to University programmes and administrative support at the level of an academic department and/or division.
  • A working knowledge of SUNStudent, SUNLearn and other administration systems.
