Job description

Position: Administrative and Finance Officer (JB)

Location: Somerset West, Cape Town

Salary: R25 to R30 a month CTC

Type: Permanent

A global energy solutions leader that supports Telecommunications is looking for a dynamic Administrative and Finance Officer to manage executive support, office operations, and key financial tasks like bookkeeping and reconciliations.

This fast-paced role suits a highly organized, discreet professional eager to contribute to innovative, clean energy systems across Africa.

Minimum Requirements:

  1. Grade 12 (Not negotiable)
  2. Personal Assistant Diploma / Certificate (Advantages)
  3. Proven work experience as an Office Administrator
  4. Experienced in using Microsoft Office and Excel
  5. Experienced in Xero (Advantage)
  6. Knowledge of office management systems and procedures
  7. Proficiency in MS Office
  8. Excellent communication (verbal and written)
  9. Outstanding organizational and time management skills
  10. Ability to multitask and prioritize daily workload
  11. Discretion and confidentiality

Duties and Responsibilities:

  1. Screen and direct phone calls
  2. Distribute correspondence
  3. Handle requests and queries appropriately
  4. Manage diary and schedule meetings / appointments
  5. Make travel arrangements
  6. Source office supplies
  7. Produce communication documents for suppliers and internal communication
  8. Devise and maintain office filing systems
  9. Manage general office space
  10. Ensure operation of equipment through maintenance, repairs, inventory management, and evaluation
  11. Manage emails, letters, packages, phone calls, and other correspondence
  12. Perform other administrative tasks as required

Finance:

  1. Load payments and maintain the cash book
  2. Perform bank reconciliations
  3. Process and reconcile supplier invoices
  4. Process and reconcile customer invoices
  5. Support weekend and month-end financial procedures
  6. Handle general bookkeeping
  7. Perform other finance-related administrative tasks as required
