An established building management company is looking for a temporary administration coordinator. The ideal candidate will need to be available to start on 03/02/2025. It is important to note that this is a temporary position, and the ending date of the fixed-term contract will be 16/05/2025.

The ideal candidate should have administrative experience, the stamina to work long hours on their feet, and the ability to thrive in a fast-paced environment.

Minimum Requirements:

  1. Valid Drivers license and own vehicle
  2. At least five years experience in similar role
  3. Bachelor's degree in related field
  4. Proficiency in Sage One Accounting and Microsoft Suite

Key Responsibilities:

  1. Handling incoming emails and forwarding where necessary, addressing inquiries, and corresponding with management, staff, suppliers, and customers.
  2. Creditor reconciliations and sending the payment sheet timeously to the payments department.
  3. Processing supplier and customer invoices on the Sage One Accounting System.
  4. Sending out customer statements monthly.
  5. Invoicing tenants across the various rental properties.
  6. Processing all shipping documents and ensuring they are readily available on the shared drive system.
  7. Allocating of early settlement discounts – creditors and debtors.
  8. Following up on outstanding debtors accounts.
  9. Updating HR register with leave, loans, fines etc.
  10. Sending monthly age-analysis sheets to the bank.
  11. General filing.
  12. General upkeep of the office and its maintenance.
  13. Managing internal office policies and procedures.
  14. Placing orders with suppliers for office equipment, tools, uniforms, stock etc.
  15. Booking medicals and or training for staff members and ensuring all staff members are compliant with HSE requirements.
  16. Any other administrative tasks reasonably required of an admin coordinator.
