The Workplace Concierge is responsible for providing a high level of personalized service to employees and guests, ensuring a positive and efficient workplace experience. The role involves managing office amenities, assisting with various employee services, and maintaining a well-organized, productive environment. The Concierge acts as a representative of the workplace experience team, ensuring that workplace needs are met and that all areas of the office are fully supported.

About the Role:
Customer Service & Support:
Answer phone calls in a friendly, professional manner and maintain accurate records of service requests and their status.
Act as the workplace ambassador, ensuring high-quality, personalized services are provided to employees and guests.
Provide services such as arranging transportation, making hotel or restaurant reservations, and other reception duties as needed.
Build strong relationships with employees and guests, recognizing regular employees by name to foster a positive workplace environment.
Workplace & Facilities Management:
Serve as the point of contact for the facilities team, representing the Workplace Experience team in all matters.
Conduct daily floor walks to check office furniture arrangements, ensure all provisions are in place, and address any gaps that need attention.
Collaborate with third-party suppliers and vendors to ensure the workplace needs are met efficiently and on time.
Order office supplies, pantry items, and other common-use materials for the location to maintain office functionality.
Meeting & Event Support:
Anticipate guest arrivals and ensure that meeting rooms/spaces are set up correctly and ready for use.
Support office space configuration based on requests and internal approval, ensuring optimal workspace utilization.
Manage occupancy and space metrics, ensuring effective room and desk bookings.
Employee Engagement & Well-being:
Support the roll-out of employee engagement activities, fostering a positive, inclusive work environment.
Assist with the management of employee benefits, such as corporate card coordination and issuing company vouchers.
Administrative Support:
Perform service requests, track their statuses, and ensure completion of tasks to the satisfaction of the requestor.
Follow security and emergency procedures as defined for the property to ensure safety and compliance.
Process various office-related billing and reporting, including franking, printer usage, courier services, and uniform back charges.
Coordinate the process for new hire employee IDs and access cards, ensuring smooth onboarding.
Sustainability & Efficiency:
Conduct energy and waste audits to ensure workplace sustainability practices are adhered to.
Monitor and report on workplace metrics, including occupancy management and space usage audits.
Additional Duties:
Perform other duties and responsibilities as reasonably assigned by the supervisor or management.
About you
Previous experience in customer service, facilities management, or office administration is preferred.
Strong communication skills, both written and verbal.
Ability to manage multiple tasks and prioritize effectively.
Proficiency in using office management tools and software.
