Job Summary:
We are seeking a detail-oriented and proactive Vendor Service Representative to join our team. In this role, you will be responsible for managing relationships with approved vendors, ensuring timely material procurement, and optimizing inventory levels. The ideal candidate will be highly organized, have strong communication skills, and be able to work effectively across departments to ensure smooth order fulfillment and on-time delivery.
Key Responsibilities:
Plan, buy, and expedite materials from approved vendors to maintain the necessary inventory levels for customer demand.
Validate and analyze all orders before converting Purchase Requests (PR) to Purchase Orders (PO), ensuring accuracy in product specifications, pricing, and quantities.
Monitor on-time delivery performance from suppliers, identifying and reporting continuous delivery issues to supervisors for further action.
Coordinate with suppliers and the logistics team to follow up on delays or rescheduled orders, ensuring all parties are informed of the status and any changes.
Track inventory levels and manage order pipelines to avoid both overstocking and understocking situations, ensuring efficient inventory turnover.
Ensure full compliance with the company’s and department’s policies and standard operating procedures, maintaining high standards of operational integrity and consistency.
Compile and distribute internal and supplier reports on order statuses, delivery performance, and inventory management, ensuring timely and accurate information flow.
Qualifications:
Previous experience in customer service, preferably within the electronics, semiconductor, or supply chain industries is highly advantageous, but not a must.

Strong communication and interpersonal skills, with the ability to collaborate effectively with vendors, internal teams, and stakeholders.
Proficiency in Microsoft Excel, PowerPoint, and other relevant reporting tools is highly advantageous.
Strong organizational and time management skills, with the ability to manage multiple tasks and priorities in a fast-paced environment.
Experience in inventory tracking, order management, and procurement processes is preferred.
Detail-oriented with the ability to identify and resolve issues quickly and efficiently.
Knowledge of supply chain best practices and vendor management strategies is a plus.
