Job description

JOB SUMMARY

The Tenancy Operations Executive is responsible for managing the full tenancy lifecycle, including onboarding, in-tenancy, exit management, and procurement processes to support property operations. The role also involves the daily use of the client's designated system for updates, tracking, and communication to ensure transparency and consistency in service delivery.

KEY RESPONSIBILITIES

1. Tenancy Management

  1. Administer property-related fulfilment of tenancy obligations in LOIs, Tenancy Agreements, renewals, terminations, and inventory reports
  2. Ensure timely and compliant execution of all required tenancy documents
  3. Conduct pre-tenancy inspections, handovers, and post-tenancy exit walkthroughs

2. Tenant Relations

  1. Act as a key point of contact for tenants throughout the tenancy
  2. Address and resolve tenant enquiries, feedback, and complaints promptly and professionally
  3. Maintain high levels of tenant satisfaction through periodic engagement and follow-ups

3. Use of Client's System

  1. Utilize the client's designated property management system for various administrative tasks
  2. Log service requests, upload tenancy records, and track tenancy milestones
  3. Generate tenancy and maintenance reports
  4. Monitor procurement activities and approvals within the system
  5. Ensure all data entries are up-to-date, accurate, and in accordance with company protocols

4. Procurement & Vendor Coordination

  1. Source, evaluate, and recommend vendors for property-related services
  2. Raise and manage Purchase Requisitions (PR) and Purchase Orders (PO)
  3. Ensure timely delivery of goods and services
  4. Track procurement costs and budget usage
  5. Maintain records of quotations, vendor performance, and contract renewals

5. Maintenance & Facilities Support

  1. Coordinate with contractors and maintenance personnel to resolve issues
  2. Arrange preventive and corrective maintenance works
  3. Support inspections, servicing, and upkeep of residential apartments
  4. Ensure reinstatement, repairs, or deep cleaning works are completed prior to move-ins and move-outs

6. Compliance & Reporting

  1. Ensure compliance with Singapore tenancy regulations and building protocols
  2. Submit regular reports on tenancy status, occupancy, complaints, and procurement activity
  3. Prepare and maintain documentation for audit and internal control purposes

REQUIREMENTS

  1. Some experience in property/general administration would be strong advantage
  2. Proficiency in MS Office (Word, Excel, Outlook, Teams, SharePoint)
  3. Ability to adapt to procurement and vendor management processes
  4. Strong administrative, communication, and problem-solving skills
  5. Ability to work both independently and as part of a team
  6. Experience with expatriate clientele and premium residential properties is a strong advantage
  7. Fresh school leavers with a passion for and interest in real estate will be considered

Working Hours:

  1. Monday to Friday: 9:00am – 6:00pm
  2. Flexibility required for occasional after-hours or weekend coordination (e.g., handovers, urgent requests)
