Job description

Our client, a financial institution globally, is looking for a Team Administrative Assistant.

  • Location: CBD Area
  • 6 & 12 month contract - renewable!

Role Overview:

This position involves providing dedicated administrative support to a group of 20-30+ people. The ideal candidate will have prior experience in the global banking or financial sector, particularly in global markets or front office settings. The role focuses on managing administrative functions and supporting the team’s operational needs.

Responsibilities:

  • Oversee calendar management by arranging and coordinating internal and external meetings.
  • Facilitate onboarding and offboarding processes for team members.
  • Assist with administrative tasks, including preparing applications and securing approvals for business activities.
  • Track and document client meetings using the Global Event Management System, while organizing roadshows and events for business travel.
  • Prepare and submit travel and expense reimbursement reports, ensuring timely resolution of any follow-up requirements.
  • Organize travel plans and ensure all required documents are prepared for business trips.
  • Manage inventory of office supplies to ensure seamless operations.
  • Deliver ad hoc administrative assistance as required by the team.

Requirements:

  • Diploma or bachelor's degree or equivalent.
  • At least 5+ years experience supporting large teams.
  • Regional exposure or market coverage is a plus.
  • Strong ability to prioritize tasks effectively in a fast-paced environment.
  • Familiarity with processes related to event coordination, travel arrangements, and expense management.
  • Excellent interpersonal and communication skills for interacting with various stakeholders.
