Job description

[Temporary 6 months Contract Position]

The team member will support and be responsible for Community Engagements and Volunteer Management events such as the Project Give (PG) Campaign, Festive Gift Packs (FGP) Deepavali, Volunteer Fiesta, FGP Christmas and SAC Pre-event preparations.

Responsibilities:

  • Support the team with communication and management of partners and vendors.
  • Coordinate logistics and scheduling for partner representatives for the events.
  • Provide them with relevant information about the event, including the schedule, nearby amenities, and any special arrangements.
  • Assist in verifying information, such as contact details and address.
  • Following up with RSVP confirmations, answering questions and addressing concerns on the event day.
  • Support IC of the event with the event management team to establish the objectives, theme, and overall vision for the appreciation dinner.
  • Verify the database of invitees.
  • Prepare and send formal invitations to community partners, including necessary event details such as date, time, and location.
  • Coordinate event logistics, such as transportation, parking, and signage, to ensure a smooth experience for attendees.
  • Prepare visual aids, presentations, or other materials required for speeches, presentations, or interactive sessions during the event.
  • Assist in sending post-event thank-you notes or emails to community partners, expressing gratitude for their participation and support.
  • Coordinate a team of volunteers to assist with the FGP packing process.
  • Develop a volunteer schedule and ensure proper coverage during the packing event.
  • Coordinate the goodie bag assembly, ensuring all items are included and packed according to guidelines.
  • Coordinate the delivery logistics of the FGPs to the intended recipients or distribution points.
  • Maintain accurate records of community partners, volunteers, and the number of FGPs packed and delivered.
  • Identify and select catering services that align with the event's theme, budget, and attendees' dietary preferences.

Requirements:

  • Diploma or Degree in Events Management, Business Management, Volunteer Management, or other related fields.
  • Minimum 2 years of relevant working experience in Community Engagement, Partnerships and Event management.
  • Proficient in MS PowerPoint and MS Excel for presentations. Able to perform fundamental data analysis using Excel/Power BI would be an added advantage.
  • Strong communication and interpersonal skills and ability to manage stakeholders across different levels.
  • Resourceful, able to work independently and in a team with volunteers & community leaders.
  • Flexible to work on some weekday evenings and weekends.

This is a 6 months contract position.
