Job description

What the role is:

The Corporate Services section in Corporate & Finance Division consists of three teams: Asset Management, Administrative Services and Policies. The key responsibilities of the Administrative Services team are as follows:

Provision of corporate services
General office administration
Management of office equipment

What you will be working on:

The key responsibilities of the job holder are:

Drive implementation of new processes/systems related to Administrative Services
Review existing processes and implement IT solutions to improve efficiency of services provided by Administrative Services Team
Manage vendor onboarding requests from HTX divisions and related matters
Manage Administrative Services contracts, which include but are not limited to:

Source and procurement of services
Manage contract with vendors
Manage user accounts
Check transactions
Analyse and provide insights on utilisation trends and highlight potential red flags

Manage user accounts for Microsoft Teams, Zoom, vending machines and room-booking panels and analyse trends of usage
Any other matters as assigned

What we are looking for:

Minimum Diploma in any field
Experience with doing administrative work and government procurement will be an added advantage
Possess good writing and communication skills
Responsible team player who is organised, meticulous, self-motivated and has initiative
Able to work well with people and teams regardless of levels and diverse groups from different organizations
Able to work within tight deadlines

All new hires are appointed on a two-year contract in the first instance and will be assessed and considered for permanent tenure over time, based on performance.
