Job description

Overview

The Spare Management supervisor is required to manage BYD Singapore passenger vehicle spares system. Assist the supervisor on the inventory management, procurement, accounting, costing and distribution of spare parts within the BYD Singapore and its distributors/dealer. This role ensures the adequacy, accountability, payment and proper documentation of parts, timely supply of right parts at the right time and place, and the disposal of spare parts to support aftersales operation and operational efficiency of BYD Singapore. The supervisor will report to the Director of aftersales passenger vehicle and is to work with HQ BYD to develop local policy, enforce and implement HQ BYD policies, conduct regular checks and validations, create, review and optimize stocking processes to minimize downtime and costs. Manage the KPI and performance of the spare inventory and submit reports on a timely basis. To attend meetings as and when required and/or directed by his superior.

Key Responsibilities

  1. Inventory Management:
    1. Maintain optimal stock levels of spare parts to meet operational requirements.
    2. Conduct regular inventory audits to ensure accuracy and accountability.
    3. Implement and manage inventory control systems (e.g., WMS, SAP, ERP software).
  2. Procurement, Distributor, Dealers, HQ and Vendor Coordination:
    1. Source spare parts from HQ or reliable suppliers while negotiating favorable terms.
    2. Ensure timely procurement and replenishment of critical spares.
    3. Build and maintain strong relationships with HQ, dealers, distributors, vendors and suppliers.
    4. Work with distributors and dealers on BYD spares requirements.
    5. Coordinate with HQ on the types and qualities of spares required for efficient aftersales support.
    6. Work with shipping and freight forwarders on spare movement and handle all the documentation.
  3. Planning and Forecasting:
    1. Analyze vehicle usage trends to forecast spare part requirements.
    2. Develop procurement and stocking policies to prevent overstocking or shortages and optimize stock levels.
  4. Accounting, Documentation and Reporting:
    1. Maintain accurate records of inventory transactions, including receipts, issues, and returns.
    2. Prepare detailed reports on stock levels, usage patterns, and procurement activities.
    3. Prepare POs, invoices, delivery orders and handle all accounting and finance issues related to spares and its inventory.
  5. Policy Development:
    1. Establish policies for the management, storage, and distribution of spare parts and distributor/dealer spares management.
    2. Ensure compliance with company standards and regulatory requirements.
  6. Operational Support:
    1. Collaborate with maintenance teams to identify spare part needs.
    2. Ensure timely delivery of parts to support repairs and maintenance activities.
  7. Cost Control:
    1. Monitor inventory costs to stay within budgetary limits.
    2. Identify opportunities for cost savings through efficient inventory management.
  8. KPI, Performance Reports and Meetings:
    1. Manage the KPI and performance of the spare inventory and submit reports on a timely basis.
    2. Attend meetings as and when required and/or directed by his superior.
  9. Savaging and Disposal:
    1. Manage the savaging and disposal of spare parts to meet NEA and government requirements.
    2. Support aftersales operation maintenance and repair requirements to ensure operational efficiency.
  10. Others: Any other tasks related to spares, inventory and warehouse management as directed by the superior.
