Job description

The successful candidate will be assisting the Facilities Manager with the operations and smooth running of daily school operations and taking ownership of the facilities and the properties assigned. Responsible for providing comprehensive facilities management services for the identified sites in support of school business needs and goals.

Job Responsibilities

  1. Manage a team of direct reportees as well as indirect reportees from vendors who provide various services to the school.
  2. Ensure that reportees and indirect reportees are motivated and work as a team for desired results.
  3. Ensure all safety procedures are maintained at all times on-site, including Crisis Management, Business Continuity, and Emergency Procedures.
  4. Own and supervise any maintenance/expansion project works related to Infrastructure and M&E.
  5. Ensure that all facility management functions reporting to the role are properly managed and meet business requirements.
  6. Management reporting on overall facility management operations and key achievements to the Facilities Manager.
  7. Responsible for risk management issues and legal and compliance matters.
  8. Drive programs to reduce risks and other incidents on-site.
  9. Manage all technical and service contracts and tender documentation, develop, and implement procedures and performance measures to ensure efficiency, accuracy, and reliability of work methods and systems.
  10. Identify areas of potential cost-saving measures (including utility consumption) and drive cost-saving measures.
  11. Verify industry benchmarks on cost/service and establish a standard for the school to follow.
  12. Implement M&E preventive maintenance plan and provide smooth delivery of all soft services.
  13. Establish and maintain good relations and effective communications with customers and team members.
  14. Report on a month-on-month basis on various parameters (operational efficiency, achievements, and failures) of each function/vertical reporting to the position.
  15. Ensure that best practices in the industry are followed in all reporting functions and that continuous improvement in service delivery is available.
  16. Devise feedback mechanisms to measure the service levels of the various services offered and ensure they are continuously monitored and improved.
  17. Prepare and manage within the annual operational budget.
  18. Prepare and manage within the annual capex budget.

Job Requirements

  1. Minimum Degree or Diploma in any relevant areas of qualifications.
  2. Minimum 3-5 years of experience in a similar role, preferably within a school environment.
  3. Must have prior experience in some form of vendor management such as FM, security, pest control, etc., either managing or being a service vendor.
  4. Knowledge of Computer Room Air-conditioning (CRAC), Chiller system, Fire Protection System, Electrical system, Security System, and BMS system.
  5. Project Management knowledge for handling minor projects.
  6. Must possess excellent communication skills, both written and spoken.
  7. Need to have a high level of customer service mindset and ability to interact with the parent community on day-to-day operational issues.
  8. Ability to empathize with blue-collar workers, walk in their shoes, and find solutions for their daily problems/issues.
  9. Willing to get hands dirty and walk to the ground to understand the root cause of problems.
  10. Resourceful and able to seek alternative solutions to problems when they occur.
  11. Able to look at the bigger picture and strategize on the mid and long-term plans for vendor management.
