Job description

Our esteemed client, an established MNC, is searching for a Senior Regional Facilities Management Executive:

Job Responsibilities

  1. Execute financial-related tasks to support facility operations.
  2. Act as an administrator for the purchasing system related to facility management, if required.
  3. Assist in registering new third-party vendors in the system according to policies and procedures.
  4. Create purchase orders (POs) on behalf of the facility management team and process goods receipt (GR) upon confirmation.
  5. Support financial transactions to ensure timely processing and compliance with internal financial procedures.
  6. Assist the finance team in managing facility-related financial matters efficiently.
  7. Maintain financial tracking records to ensure all payments are documented and completed in a timely manner.
  8. Escalate any potential risks of late payments or financial issues that may impact facility operations.
  9. Conduct safety inspections to ensure compliance with workplace health and safety regulations.
  10. Address any safety concerns promptly and oversee the management of space and equipment safety measures.
  11. Support environmental sustainability efforts by tracking energy consumption data and assisting in data submissions.
  12. Provide quarterly reports on safety, waste management, and water usage.
  13. Participate in sustainability initiatives, including carbon credit programs.
  14. Monitor outsourced security service providers to ensure contractual compliance.
  15. Oversee day-to-day security operations, respond to security incidents, and coordinate VIP guest registration.
  16. Manage Integrated Facilities Management (IFM) service providers to ensure service levels are met.
  17. Develop strong working relationships with internal and external stakeholders for smooth execution of programs and procedures.
  18. Conduct physical occupancy checks in collaboration with IFM service providers.
  19. Oversee maintenance and service standards for mechanical and electrical (M&E) contractors to ensure compliance with manufacturer recommendations and internal guidelines.
  20. Plan and manage budgets for facility management contracts.
  21. Manage vendor contracts for technical services.
  22. Collaborate with IFM service providers to ensure smooth operations of mechanical, electrical, and plumbing systems.
  23. Provide emergency call support and site attendance as required.
  24. Oversee M&E project scopes to ensure timely delivery and quality outcomes.
  25. Implement innovative programs to enhance productivity, reduce costs, and optimize processes.
  26. Monitor and achieve key performance indicators (KPIs) and service level agreements (SLAs).
  27. Conduct space planning and monthly occupancy reporting through physical inspections.
  28. Manage the issuance and registration of access badges, addressing user and visitor badge-related issues.
  29. Support ad-hoc projects related to facility management.
  30. Coordinate the setup of event spaces, including light furniture arrangements.
  31. Handle procurement and coordination of festive decorations and landscaping services.
  32. Plan and execute festive celebrations and other employee engagement events.
  33. Liaise with event vendors and stakeholders as required.

Job Requirements:

  1. Diploma or Degree in Facilities Management, Hospitality, Engineering, Property Management, or a related field.
  2. 3-5 years of relevant experience in facilities management or a related discipline.
  3. Strong interpersonal skills with the ability to manage multiple stakeholders and service providers.
  4. Excellent verbal and written communication skills, with the ability to present and lead meetings.
  5. Proven experience in handling multiple and complex projects on a daily basis.
  6. Ability to interpret commercial contracts and manage vendor relationships effectively.
  7. Strong problem-solving skills with the ability to handle ambiguity and complex issues.
  8. Proficiency in Microsoft Office and familiarity with Computerized Maintenance Management Systems (CMMS) and project management tools.
  9. Experience managing both internal and external stakeholder expectations.
  10. Ability to multi-task, organize, and prioritize workload effectively while maintaining professionalism.

Additional Information:

  1. Salary: Up to SGD 4,600 +AWS +VB (2 Months)
  2. Working Location: Labrador Park
  3. Working Hours: Monday to Friday, 9am to 6pm
