Role Purpose (Why do we need this role?)

The Senior Project Coordinator works closely with the PMO team and Transformation Division by coordinating project activities, with a particular emphasis on the ‘Fit for Future Programme’. This programme is critical for our ongoing transformation efforts by ensuring our organisational teams are best equipped to address future needs. Through the Fit for Future Programme and other projects, this role will involve regular communication with senior leadership and support the smooth execution of strategic initiatives within the Programme Management team and the broader Transformation Division.

The role will also provide coordination support within the Programme Management team, and more broadly to the Transformation Division, to ensure important project activities are properly coordinated.

Role Accountabilities (What is this role responsible for delivering?)

Safety

  • Take responsibility for the safety of myself and those around me by displaying safety leadership principles (i.e. Safety I’s & Accountability ladder).
  • Challenging and stopping unsafe acts and behaviours or unsafe conditions.
  • Comply with the Global Safety Standards, Polices and Operating Procedures
  • Ensure that all project activities comply with Swire Shipping’s safety policies and procedures, as well as industry standards.

Project Coordination and Support:

  • Collaborate with senior leaders in the PMO team in planning and executing transformation projects, ensuring that project-related tasks are tracked and monitored efficiently.
  • Maintain detailed project documentation, including plans, timelines, budgets, and resource allocation, ensuring all information is accurate and accessible.
  • Monitor project milestones and deliverables, providing regular status updates to stakeholders to ensure timely completion.
  • Facilitate project meetings by scheduling, preparing agendas, taking minutes, and ensuring follow-up on action items.

Fit for Future Project Coordination:

  • Oversee the activities required to ensure the organisation continues to transform into becoming Fit for Future.
  • Create and update useful content which reflect the desired organisational structure and design principles which underpin our desired state, as well as in-depth dialogue, analysis and reviews of various Divisions, Business Units and/or Departments.
  • Collaborate with senior leaders to align organisational structures with operational effectiveness and strategic goals, updating documentation after key events like acquisitions or reorganisations.
  • Embed this into Swire Shipping’s way of working as an annual cycle.
  • Create content and reporting to the standard that senior leaders, including the executive leadership team, would expect.

Divisional and Departmental Support:

  • Act as coordinator for department or division-wide activities to support the Head of PMO in their Chief of Staff responsibilities
  • Provide administrative and coordination support for meetings, activities, and broader CTO division-wide activities.

Risk and Issue Tracking:

  • Track and monitor risks and issues related to transformation projects and the Target Operating Model, escalating concerns when necessary.
  • Maintain risk registers and issue logs to ensure clear communication and mitigation strategies are in place.

Change Management Support

  • Assist in the development and execution of change management plans, ensuring stakeholders are prepared for changes introduced by transformation projects.
  • Help coordinate training sessions and workshops to support smooth transitions to new systems, processes, or ways of working.

Key Qualifications & Skills (What knowledge will ensure success in the role?)

  • Strong organisational and coordination skills, capable of managing multiple activities and ensuring timely completion.
  • Excellent communication and stakeholder management, with the ability to collaborate effectively with senior leadership and cross-functional teams.
  • Understanding of business operating models and process mapping, ensuring alignment with strategic goals.
  • Proactive problem-solving and analytical abilities, with a focus on addressing project challenges and maintaining operational alignment.
  • High attention to detail, ensuring accurate documentation, tracking, and reporting of project activities and risks.
  • 3-5 years of experience in project coordination, programme management, or a similar role, preferably within a transformation or business strategy environment.
  • Proven experience supporting senior leadership in cross-functional or divisional initiatives.
