Job description

Role Purpose (Why do we need this role?)

The Senior Project Coordinator ensures that transformation project execution activities run smoothly and efficiently, contributing to the successful delivery of key business objectives. The role will work closely with the project team to create and maintain project documentation, track progress, and provide administrative, logistical and coordination support, primarily for senior members of the PMO team. The role will also be responsible for performing some analysis and reporting activities related to the project.

Safety

  • Take responsibility for the safety of myself and those around me by displaying safety leadership principles (i.e. Safety I’s & Accountability ladder).
  • Challenging and stopping unsafe acts and behaviours or unsafe conditions.
  • Comply with the Global Safety Standards, Polices and Operating Procedures.

Project Coordination and Support

  • Collaborate with senior leaders in the PMO team in planning and executing transformation projects, ensuring that project-related tasks are tracked and monitored efficiently.
  • Maintain detailed project documentation, including plans, timelines, budgets, and resource allocation, ensuring all information is accurate and accessible.
  • Monitor project milestones and deliverables, providing regular status updates to stakeholders to ensure timely completion.
  • Facilitate project meetings by scheduling, preparing agendas, taking minutes, and ensuring follow-up on action items.

Project Analysis and Reports

  • Create initiative-specific materials related to the project, including analysis, research, reporting, and presentations to senior leadership team

Stakeholder Communication and Engagement

  • Act as a liaison between project teams, business units, and other stakeholders to ensure clear and timely communication regarding project progress and prioritisation decisions.
  • Assist in preparing reports and presentations for senior leadership, providing updates on project performance.

Risk and Issue Tracking

  • Support the tracking of project risks and issues, ensuring they are documented and monitored. Escalate risks to the project leads as necessary.
  • Help maintain a risk register, ensuring that risks are communicated, and mitigation strategies are implemented effectively.

Change Management Support

  • Assist in the development and execution of change management plans, ensuring stakeholders are prepared for changes introduced by transformation projects.
  • Help coordinate training sessions and workshops to support smooth transitions to new systems, processes, or ways of working.

Administrative and Logistical Support

  • Provide general administrative support to the PMO team, ensuring smooth operation of project-related events, workshops, and meetings.

Key Qualifications & Skills (What knowledge will ensure success in the role?)

  • Project Management and Coordination Skills: Highly organised with the ability to manage multiple tasks, deadlines, and priorities simultaneously. Proven ability to maintain detailed project documentation and ensure accurate tracking of milestones.
  • Familiarity with Project Management Tools: Proficient in using project management software and tools (e.g., MS Project, Jira) to track progress and maintain records. Knowledge of project management methodologies (Agile, Waterfall) is a plus.
  • Effective Communication: Strong verbal and written communication skills, capable of conveying complex information clearly, regularly, and to a wide range of people. Ability to facilitate effective communication between project teams, business units, and senior leaders.
  • Continuous Improvement Mindset: Skilled in identifying inefficiencies in processes and suggesting improvements to enhance workflows. Skilled in automating and optimising workflows.
  • Stakeholder Engagement: Strong interpersonal skills, with the ability to build and maintain relationships with key stakeholders across the organisation. Experience coordinating cross-functional teams and ensuring alignment with project goals.
  • Attention to Detail: Strong attention to detail, ensuring accuracy in documentation, tracking, and reporting. Ability to maintain up-to-date records of prioritisation and project status.
  • 2-4 years of experience in project coordination, prioritisation, administration, or a similar support role.
  • Experience working in a fast-paced, project-driven environment, preferably within a transformation or technology-focused department, and also in the maritime sector.
  • Familiarity with project management methodologies and tools, with experience in supporting complex, cross-functional projects.
