Job description

City Campus at main wing, STEM wing and City Campus @ Cathay

Monday – Friday : 8am to 4.15pm/ 10.45am to 8pm

Saturday : 8.30am to 5.3 0pm

(Rotating shift within the hours above, subject to 42 hours work week)

*Required to rotate between City Campus Main & STEM Wing and City Campus @ Cathay

Customer Service

  • Greet and assist walk-ins, ensuring a welcoming and professional atmosphere.
  • Address customer inquiries, both in person and over the phone, and direct them to the appropriate department or individual.
  • Ensure that all visitors are properly logged in and escorted as necessary.
  • Top up papers in students’ self-printing area and assist students if there is any error arise.
  • Check whiteboard markers and ensure the facilities team replace markers and dusters in all classrooms, student breakout areas, conference and meeting rooms.

Assist Faculty in the following:

  • Provide gantry assistance for students and visitors
  • Distribution of calculators’ stickers for exam use
  • Assist the schools with ad-hoc collections during the weekends as and when required
  • Maintain an organized and presentable reception area.

Administrative Support:

  • Coordinate front desk activities, including distributing correspondence, managing incoming and outgoing mail, and processing deliveries.
  • Check/reply to emails and manage the company’s general mailbox.
  • Monitor and ensure office supplies, centralized stationeries and mineral water are stocked up sufficiently.
  • Manage lost & found, tidy the items monthly and discard items according to their time frame
  • Assist in the booking of discussion rooms for staff and lecturers.
  • Assist to process admin invoices.
  • Arrange for the disposal of confidential documents.
  • Assist with ad-hoc room bookings using Syllabus Plus software.

Others:

  • Any other ad-hoc duties as required by the company from time to time.

Requirements

  • ‘O’ Levels/ Nitec / Higher Nitec in any discipline
  • 3-4 years Experience in (a) Counter Duties (b) Customer Service (c) Administration/ Clerical work
  • Warm and approachable personality with good interpersonal skills
  • Able to multi-task
  • Enthusiastic with a “can-do” attitude Team Player
  • Ability to remain professional and calm under pressure
  • Student-centric customer service approach to delivering excellent service attitude
  • Proficiency in office management software (e.g., MS Office)
