Job description

Senior Manager/Manager, Corporate Services (Contract)

Manage corporate services, facilities management, leasing, vendor and outsourcing management and general administration.

Job Responsibilities

  • Manage daily operations such as the management of service requests and liaising with building landlord and vendors for any related facility management tasks (e.g. monthly servicing/change of lights).
  • Liaise with contractors/vendors on renewal contracts quotations; rectify issues, defects and any concerned areas within the facilities (e.g. office equipment, general office cleaning, pest control, office renovation); ensure appropriate follow up with contractors/vendors.
  • Security Access Management including Door Access card control, review of surveillance camera & entry pass platform.
  • Monthly submission of security access report to respective Heads for review.
  • Premises Security and yearly check of extinguishers and hose reels.
  • Perform annual review and update of internal policies to align with new regulations.
  • Liaise with contractors/vendors to repair and maintain bank’s facilities including but not limited to air conditioning, fire service system, access card system, CCTV, premises security, workplace safety and health, electrical system, plumbing and drainage system.
  • Plan and monitor renovation and relocation projects, including physical relocation services.
  • Provide solutions and assist in implementation of staff requirements on new equipment and purchase of office furniture and office equipment.
  • Assist in preparing the annual budget for repair, maintenance and new purchases.
  • Manage and monitor vendors’ performance and outsourcing activities to ensure quality of works meet with the agreed Service Level requirements, compliance, service standards and site visits.
  • Responsible for general administration, procurement, outsourcing, printing services, office supplies, secure & general courier services, office equipment management, records management services and mailing services.
  • Manage contract renewal of corporate car rental, insurance policies renewal and prepare proposals for approval before deadlines.
  • Manage procurement process for office supplies, rental and other needs including negotiating with vendors and conducting tender exercises. Support procurement documentation that aligns with the bank’s policy.
  • Ascertain proper approval on service orders and payment processes.
  • Central contract storage for all contracts signed with external parties and coordinate offsite document storage.
  • Streamline and review daily operation workflow to enhance efficiency.
  • Review procedures and policies annually.
  • Assist in BCP drill and work closely with the IT team on issues affecting corporate services.
  • Assist in ad-hoc projects/tasks assigned by the supervisor.

Job Requirements

  • Diploma/Degree holder or equivalent in business administration/management, procurement related disciplines.
  • Minimum 5 years’ experience in facilities management, familiar with corporate services, outsourcing, procurement, vendor management, general administration preferably in the banking field.
  • Good knowledge of property facilities management, corporate service vendor management, outsourcing, general administration, workplace safety and health.
  • Conversant with PC knowledge, including MS Word, Excel and PowerPoint.
