Job description

Transliner is a Container Shipping Company that provides liner services with a fleet of own containers and an expansive network of offices & agencies offering shipping solutions from Korea to Egypt. The Transliner Group, founded in 2001, is one of Singapore’s oldest Non-Vessel Operating Common Carriers (NVOCC) with a team of over 200 professional staff across various locations.

This exciting role offers the opportunity to showcase your English proficiency, effective communication, client interaction, and expertise in HRIS, HR branding, labor laws, manpower planning, recruitment, and LinkedIn marketing.

Key Responsibilities

HR Shared Services Operations

  1. Oversee Data Management: Manage and update employee data in the HRIS to ensure information is accurate and timely for payroll processing.
  2. Onboarding and Offboarding: Handle processes for new hires and exiting employees.
  3. Process Improvement: Identify opportunities for improvement in HR processes and implement changes to enhance efficiency and accuracy.

Compensation and Benefits:

  1. Engage in different C&B related projects such as salary proposal, benefits benchmarking, annual review process for salary adjustment, bonus and incentive.
  2. Maintain consistent deployment of compensation policy and practice, identifying inconsistencies and develop corrective actions. Act as a change agent by facilitating, managing and implementing the necessary modifications to ensure that it is communicated & executed effectively and accurately.
  3. Review of compensation plans with monetary and non-monetary benefits based on employee needs.
  4. Support in preparation of C&B data for analysis and reporting to identify trends, gaps and areas for improvement.
  5. Handling C&B related enquiries from different levels of staff.
  6. Other Ad-hoc C&B projects assigned.

Recruitment & Onboarding:

  1. Assist in the recruitment process, including job postings, screening resumes, and scheduling interviews.
  2. Conduct onboarding sessions for new hires and ensure they have the necessary resources.
  3. Prepare and issue employment contracts for new hires and amendments for existing employees.
  4. Ensure contracts comply with legal requirements and company policies.

Payroll Management:

  1. Process payroll on a timely basis, ensuring accuracy and compliance with applicable laws.
  2. Maintain payroll records and handle payroll-related inquiries.

Work Passes and Visa Applications:

  1. Manage visa application processes for foreign employees, ensuring compliance with immigration regulations.
  2. Liaise with government agencies and legal advisors regarding visa and work permit issues.

Compliance and Standard Operating Procedures (SOPs) Regulatory Compliance:

  1. Ensure all HR processes comply with local, regional, and international labor laws and regulations.
  2. SOP Development: Create, maintain, and update standard operating procedures to ensure consistency and efficiency in HR operations.
  3. Audit Readiness: Prepare and manage documentation for internal and external audits to ensure compliance with HR policies and regulations.

Vendor Management

  1. Vendor Selection: Participate in the selection and evaluation of HR service vendors to ensure they meet the organization’s standards.
  2. Contract Management: Manage vendor contracts, including negotiating terms and ensuring compliance with agreed service levels.
  3. Performance Monitoring: Continuously monitor and evaluate vendor performance, addressing any issues promptly to maintain service quality.

General/HR Administration:

  1. Maintain and update employee records in the HR database.
  2. Assist in the development and implementation of HR policies and procedures.
  3. Oversee office supplies and inventory management.
  4. Support the smooth operation of administrative functions and facilities management.
  5. Support HR initiatives and transformation projects according to the designated work plan;
  6. Proactively keep abreast of changes in employment law, HR practices, and industry trends to identify and propose opportunities for enhancements and drive HR service delivery and productivity.
