Role Overview
As a Senior/Executive Producer (Events), you will ensure the successful delivery of projects from inception to execution. Working within the production team, you will play a key role in the pre-production process, ensuring the creation of memorable experiences. Your role will involve close interaction with colleagues, partners, suppliers, and clients.
Key to this role is your ability to manage client relationships, understand their needs, and deliver high-quality results. You will present proposals, lead WIPs (Work In Progress), conduct onsite visits, and manage internal relationships and processes to ensure successful project delivery.
A combination of exceptional time and project management skills, passion, and adaptability will be very important to your success in this position. You will ensure that all elements of the project, from creative concepts to logistics and technical requirements, meet agreed objectives, remain within budget, and exceed client expectations.
Key Responsibilities
- Leadership: Direct event executives and vendors, ensuring processes are carried out as required to meet project goals.
- Business Development: As needed, support the Senior team with developing pitches, costings, and specific vendor/production tasks.
- Production Management: Ensure a thorough understanding of the brief and manage tasks to facilitate smooth pre-production and onsite processes.
- Team Culture: Work closely with various teams, including Creative, Technical, and Senior Management, to deliver projects as directed.
- Communication: Maintain clear communication with all stakeholders, internally and externally, to ensure alignment on responsibilities, scope, budget, and schedules. This may include client communication for travel arrangements, speaker coordination, and other logistical needs.
- Admin & Support: Oversee Producers and Associate Producers, lead event coordinators, and ensure the team stays on top of administrative tasks such as expenses, office support, scheduling, and other operational duties.
- Standard Operating Procedures: Ensure strict adherence to corporate guidelines, templates, and processes as outlined in the company handbook.
Requirements
- Experience: Minimum of 7-8 years within the industry, with experience on the client side or within an event agency.
- Professional Development: Eagerness to grow your foundational skills and attention to detail, along with a passion for learning and mentoring others.
- Team Spirit: Outgoing, friendly, with a strong sense of team spirit. Able to offer innovative ideas and unique perspectives.
- Project Management: A solid understanding of project management, including administration, organization, and communication skills with impeccable attention to detail.
- Travel: Willingness to travel onsite for events across the Asia-Pacific region as needed.
- Technical Skills: Strong proficiency in MS Office and Google Suite (Drive, Mail, Sheets, Slides).
- Time Management: Comfortable handling deadlines, managing multiple projects, and balancing conflicting priorities while remaining calm under pressure.
