About Department and Purpose of the Position

The National University Cancer Institute, Singapore (NCIS) is a national specialist centre under the National University Health System (NUHS). It is the only public cancer centre in Singapore treating both paediatric and adult cancers in one facility.

The Executive Assistant provides high-level administrative support to the Corporate Services team at NCIS. This role is integral to the seamless operation of key functions such as corporate planning, communications, patient advocacy, philanthropy, and services. The ideal candidate is a highly organized and proactive professional who can manage multiple priorities in a dynamic environment. Experienced administrative individuals are highly encouraged to apply, regardless of formal educational qualifications.

Key ResponsibilitiesAdministrative Support
  • Manage schedules, calendars, and appointments for senior team members to ensure efficient time management.
  • Coordinate and prepare for meetings, including drafting agendas, taking minutes, and tracking follow-ups.
  • Organize travel arrangements such as flights, accommodations, and itineraries.
  • Document Management:
    • Draft, proofread, and format reports, presentations, and correspondence for internal and external stakeholders.
    • Maintain an efficient filing and document retrieval system.
    • Assist in preparing materials for strategic meetings, workshops, and events.
Communication and Coordination
  • Act as the primary point of contact for the Corporate Services team, liaising with internal departments and external partners.
  • Respond to inquiries and follow up on action items in a timely and professional manner.
  • Coordinate team collaborations and monitor project timelines.
  • Event and Project Support:
    • Provide support in planning and executing corporate events, patient engagement activities, and fundraising initiatives.
    • Track project deliverables and assist in managing logistics.
    • Support the execution of campaigns, workshops, and other initiatives.
General Office Management
  • Oversee office supplies, procurement, and vendor management.
  • Support onboarding processes for new team members.
  • Ensure compliance with organizational policies and procedures.
Key Requirements
  • A minimum of 5 years of experience in administrative or executive support roles.
  • Proven experience managing calendars, events, and communications for senior management.
  • Familiarity with healthcare, corporate environments, or non-profits is a plus but not mandatory.
  • Exceptional organizational and time management skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong written and verbal communication skills.
  • Ability to prioritize tasks effectively and meet tight deadlines.
  • High level of discretion and confidentiality when handling sensitive information.
  • Professional demeanor with excellent interpersonal skills.
  • Proactive and resourceful, with a strong problem-solving mindset.
  • Team-oriented with a collaborative attitude.
