Responsible for the general day-to-day office administration of the company and serve as the point person for office manager duties.
Supervise a team comprising admin staff supporting front desk duties, such as answer and direct phone calls, receive and sort incoming mail and delivers, office document couriers, etc.
Handle and oversee all travel arrangements (air travel, accommodation, etc.) and operations, and manage relationships with travel agencies, hotels, and travel service providers.
Provide logistics and executive support for internal and external business meetings, and company events (e.g., board meetings, annual general meeting, company lunches, etc.).
Manage all Corporate Real Estate matters, including the renewal of office lease, delivery ofoffice maintenance and handle any office moves or renovations.
Maintain updated record of lease agreements and licenses of all subsidiaries, where relevant.
Maintain good relationships and manage contract and price negotiations with office vendors, service providers, and office lease.
Oversee office equipment and archival storage, office cleaning and inventory of office pantry and stationery supplies.
Maintain and improve administrative processes efficiently.
Assist in the onboarding process for new hires.
Develop effective corporate communication strategies, including maintaining and updating corporate website(s).
To collaborate with HR team in organizing employee's engagement activities.
Any other administrative duties as assigned.
Requirements:
Degree in Business Administration or equivalent
5 to 8 years of administrative management experience
At least 2 years of supervisory experience
Excellent time management skills and ability to multi-task and prioritize work
Attention to detail and problem-solving skills
Excellent interpersonal and communication skills (both written and verbal)
Maintain a mature discretion in handling confidential information/issues
Strong organizational and planning skills in a fast-paced environment
Possess a positive attitude and able to work independently
Proficient bilingual written and verbal communication skills as one needs to manage our English and Chinese-speaking clients and stakeholders.
