Job description

The job requires the candidate to support the Academic Vice Chair of Faculty and Professional Development (AVC, F&PD), Chief Finance Officer (CFO), the EYE ACP Office, and the Finance Office on the administration of grants, philanthropic funding, finance initiatives, and the day-to-day operations.

Job Responsibilities:

  • Supports in the administration of EYE ACP initiatives, and supports the day-to-day finance-related operations of the EYE ACP office.
  • Prepare budget for SNEC (EYE ACP) including but not limited to monitor budget utilisation and liaising with institution finance on monthly reporting and submission of financial schedules. Ensure all financial reports generated from the SAP system are correct, compliant with the policies, guidelines and grants’ terms and conditions, and ensure timely submission of all financial reports to grant funding bodies.
  • Provide support to Principal Investigators (PIs) by providing monthly statements for all grants. Provide financial-related advice to PIs and project teams and oversee the reconciliation of SAP and other creditors reports to ensure the grant fund balances in SAP reports are up-to-date and accurate.
  • Act as the liaison and communicate with internal and/or external auditors for grants, providing timely submission of financial reports, audit schedules and any other reports to auditors. Work with stakeholders including internal/external auditors, institution finance, ALPS (Procurement), 1FSS, and Duke-NUS Finance on reimbursements, claims, and audit matters.
  • Assist with the institute’s philanthropy programme (VisionSave) by raising expenses reports for billing and e-payment requisition forms (e-PRF).
  • Provide timely submission of financial utilisation reports for medical student projects (SMSTDA and AM-ETHOS). Assist medical students with their claims by raising SAP expenses reports for billing and completion of e-payment requisition forms (e-PRF).
  • Prepare and update philanthropy funding utilisation reports for institution finance and development office.
  • Oversee and track ACP Programme Grants and other Duke-NUS competitive grants, which involve research, education and clinical innovation programmes.
  • Work closely with institution finance to ensure proper governance and tracking of all grants.
  • Any other activities/initiatives as assigned by the department.


Job Requirements:

  • Degree in Finance or relevant subjects in similar fields.
  • Minimum 2 years’ working experience and knowledge in the following areas:
    - Charities and their fundraising and grants activities and statutory requirements.
    - Full spectrum of accounting functions, including budgeting, accounting, audits, reporting.
  • Ability to have an overview of the situation to analyse interdependency and implications between different matters and provide advice and recommend actions.
  • Independent worker who can plan and complete work within expected timeline or turnaround time, accuracy and completeness.
  • Initiative to review different matters and update management, recommend and implement changes or improvements.
  • Able to deliver high quality of work in the role.
