About Department and Purpose of the Position

We are seeking a Senior Associate Executive to provide high-level administrative support to the Senior Management Office. This role requires excellent organizational and time management abilities, as well as discretion in handling confidential data. The ideal candidate will have strong communication skills, be proactive, and able to work independently to ensure the efficiency and effectiveness of the Senior Management Office.

Key Responsibilities

  1. Organise and manage calendar schedules, including meetings, clinical work, and events. Arrange overseas travel schedules and itineraries, including flights, accommodation, claims, etc.
  2. Provide full spectrum of administrative support to the Senior Management Office.
  3. Support the Senior Leader for meetings and presentations, including preparation of meeting materials, booking and set-up of meeting venues, ordering of catering, drafting of meeting minutes, and follow-up on matters arising.
  4. Conduct data collation, data analysis, and preparation of presentation slides, reports, and other documents.
  5. Organise engagement events, coordinating schedules with relevant parties, booking venues, ordering catering, and handling procurement matters.
  6. Review and ensure documents, proposals, contracts, and other materials requiring the Senior Leader’s inputs or approvals are processed timely and efficiently.
  7. Maintain proper records and update the filing system for office documentation and clinical data.
  8. Handle incoming and outgoing general correspondence.
  9. Perform typing, faxing, sorting, filing, scanning, photocopying, and recording of documents and forms.
  10. Prepare and submit all expense claims and records for the department.
  11. Perform other duties as assigned by Reporting Officer.

Key Requirements

  1. Diploma in any discipline from a recognised institution.
  2. Minimum 2 years of administrative experience working in large organisations, particularly in secretarial duties and project coordination.
  3. Strong organisational and time management skills to manage busy schedules and calendars.
  4. Proficient in Microsoft Office (Outlook, Word, Excel, and PowerPoint).
  5. Excellent written and verbal communication ability.
  6. Able to prioritise and handle multiple tasks efficiently in a fast-paced environment.
  7. Possess strong analytical and problem-solving abilities.
  8. Good team player with the ability to work independently.
